Job Responsibilities:
- Provide administrative and clerical services support to the Chief Executive Officer(CEO).
- Oversee all aspects of general office coordination.
- Maintain office calendar to coordinate workflow and meetings.
- Schedule CEO appointments, maintain and update CEO daily itinerary.
- Type correspondence, reports and other documents.
- Maintain office files. File and retrieve organizational documents, records and reports.
- Open, sort and distribute incoming correspondence, including faxes and email.
- Prepare responses to correspondence containing routine inquiries.
- Organize hard copy and electronic files.
- Record minutes and submit minutes for approval.
- Assist CEO in maintaining and updating Doctor's practicing Agreement, original copies of licenses, third party service contracts etc.
- Assist in collating all documents required for renewal of hospital operating license.
- Provide receptionist services.
- Disseminate information on new staff policies and requirements.
- Maintain confidentiality in all aspects of client, staff and hospital information.
- Collect and maintain inventory of office equipment and supplies.
- Coordinate repairs to office equipment.
- Assist in special events, such as fundraising activities, medical CME and other hospital activities.
- Assist with overall maintenance of the organization and its offices
- Ensure the daily and monthly activities of the department meet the reporting requirements of the hospital.
- Perform other tasks and duties as assigned and directed.
Requirements
- Diploma in Secretarial/Office Management or Equivalent.
- Knowledge of principles and practices of basic office management and organization.
- Minimum two (2) or three (3) years previous relevant experience.
- Computer Literate.
- Able to communicate well in both written and spoken English language and Bahasa Malaysia.
- Candidate must be willing to work 5.5 work week basis.
Job Type: Full-time
Pay: RM2,000.00 - RM3,500.00 per month
