- Project Coordination: Collaborate with the project team to align activities, schedules, and resources, ensuring timely completion of deliverables.
- Documentation Management: Organize and maintain all project documentation, including contracts, permits, drawings, and correspondence, keeping files up-to-date and easily accessible.
- Meeting Coordination: Schedule and manage project meetings, create agendas, and record minutes. Distribute summaries and follow up on action items to facilitate project progress.
- Budget Tracking: Assist the Project Manager in monitoring budgets, tracking expenses, and preparing financial reports. Identify cost-saving opportunities and oversee expenses to ensure financial stability.
- Communication: Serve as the primary point of contact for project team members, stakeholders, and external partners to ensure effective communication and timely information sharing.
- Progress Reporting: Prepare regular reports on project status, milestones, and any deviations from the plan. Help identify and address project risks and issues to ensure success.
- Customer Relationship Management: Address customer complaints promptly to maintain positive relationships. Implement strategies to enhance customer satisfaction and loyalty.
- Team Support and Development: Provide mentorship, training, and coaching to team members to enhance their skills and foster a collaborative culture.
- Project Financial Monitoring: Track project finances, ensure adherence to budgets, and procure necessary services and materials on behalf of customers.
- Vendor Management: Oversee vendor relationships, negotiate contracts, and evaluate performance based on established KPIs to make informed decisions regarding vendor selection and collaboration.
- Accounts Receivable/Payable Tracking: Develop and maintain trackers for accounts receivable and payable processes, ensuring accuracy and efficiency.
- Contract Compliance Oversight: Ensure compliance with legal and regulatory standards in project contracts. Monitor performance, address deviations, and mitigate risks.
- Additional Responsibilities: Take on additional tasks or projects as needed to support the overall success of the organization.
Qualifications:
- Diploma or bachelor's degree in business administration, project management, or a related field.
- Minimum of 5 years of experience in project coordination or administration, preferably in the interior fit-out industry.
- Proficiency in project management tools and software, such as Microsoft Project, is essential.
- Strong organizational skills and keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
- Familiarity with interior fit-out processes and terminology is a plus.
