We are seeking an experienced, organized and detail-oriented Site Administrator to join our team at the Integrated Solid Waste Management Center (ISWMC) in Penang, Malaysia. Key Responsibilities:

The Site Administrator will be responsible for ensuring the smooth operation of the site’s administration and general facilities. Key duties include:

  • Manage day-to-day administrative tasks, including correspondence, organizing files, document management and maintaining office supplies.
  • Coordinate various administrative tasks such as office supplies management, coordination of meetings, and correspondence with internal and external stakeholders.
  • The Site Administrator will be the main point of contact for plant operations, guiding staff on administrative matters and facilitating communication between the site and headquarters.
  • The Site Administrator will play a critical role in promoting continuous improvement initiatives across the facility:
  • Provide continuous guidance and support to staff on administrative matters. This includes assisting with inquiries related to HR policies, payroll, and facility procedures. The Site Administrator will be responsible for managing key documentation related to operations, safety, finance, and human resources:
  • Ensure that all processes, including HR procedures, financial tracking, and operational guidelines, are documented and kept up-to-date.
  • Maintain and ensure compliance with regulatory requirements by keeping accurate and comprehensive records for inspections, audits, and other legal obligations.
  • The Site Administrator will be responsible for accurate and thorough record-keeping across all operational, administrative, and safety-related activities:
  • The Site Administrator will be responsible for managing relationships with external vendors and contractors:
  • Monitor the performance of vendors and service providers, ensuring they meet agreed-upon standards and deliverables. Address any issues with vendors promptly and ensure corrective actions are taken where necessary.

Qualifications & Skills:

  • Candidate must possess a minimum Diploma/ Bachelor’s Degree/ Professional Degree in Business Administration, Business Management, or a relevant field.
  • A minimum of 5 years of work experience in an administrative role. Previous experience in a technical or industrial environment is highly advantageous.
  • Excellent verbal and written communication skills, with the ability to interact with a wide range of stakeholders, including senior management, staff, vendors, and external partners.
  • Strong organizational skills with a keen eye for detail, particularly when it comes to maintaining accurate records and documentation.
  • Proficient in using Microsoft Office

Job Types: Full-time, Contract
