Job Summary:

The Operations Executive at Flywind Holidays Sdn Bhd plays a critical role in ensuring the smooth operation of day-to-day travel services. This includes managing travel arrangements, coordinating with suppliers, handling customer inquiries, and overseeing the execution of holiday packages and tours. Key Responsibilities:

  • Managing Travel Arrangements:
  • Oversee and coordinate the booking of flights, hotels, transport, and other travel services for clients.
  • Ensure all travel arrangements meet client expectations and company standards.
  • Prepare and manage travel itineraries for clients, ensuring accuracy and timely delivery.
  • Supplier Coordination:
  • Liaise with suppliers, vendors, and service providers (airlines, hotels, tour operators) to ensure the availability and quality of services.
  • Negotiate rates and terms with suppliers to ensure cost-effectiveness and quality service.
  • Build and maintain strong relationships with key suppliers to ensure ongoing business cooperation.
  • Customer Support and Inquiries:
  • Handle customer inquiries related to travel packages, tours, and bookings.
  • Provide expert advice and recommendations to clients regarding travel options, destinations, and services.
  • Assist clients with any special requests, ensuring that all their needs are met for a smooth travel experience.
  • Tour and Package Coordination:
  • Organize and supervise day-to-day operations of tour packages, including transportation, accommodation, and activities.
  • Ensure all details of group tours or individual packages are arranged according to the itinerary.
  • Coordinate with local tour guides and ensure that the tours operate smoothly and as planned.
  • Operational Support:
  • Assist in managing the logistics for group tours, events, and travel activities.
  • Monitor the progress of travel operations and resolve any issues that arise during the execution of packages or tours.
  • Ensure that all travel documentation (itineraries, tickets, vouchers) is accurate and issued in a timely manner.
  • Process Improvement:
  • Identify and suggest improvements to operational processes to increase efficiency, reduce costs, and improve customer satisfaction.
  • Help streamline booking and operational procedures to improve workflow and response times.
  • Reporting and Documentation:
  • Prepare daily, weekly, and monthly reports on the status of bookings, travel arrangements, and customer feedback.
  • Maintain accurate records of all transactions, customer interactions, and service provider agreements.
  • Provide input and assistance to senior management for operational strategy and planning.
  • Collaboration with Sales and Marketing:
  • Work closely with the sales and marketing teams to support promotional campaigns, special offers, and new packages.
  • Assist in providing operational insights to help design attractive travel products and packages.

Skills and Qualifications:

  • Education: Diploma or degree in tourism, business administration, or a related field. Additional certifications in travel and tourism are a plus.
  • Experience: At least 2 years of experience in operations, preferably in the travel or tourism industry.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • In-depth knowledge of travel industry operations, including booking systems, airlines, hotels, and tour logistics.
  • Problem-solving skills and ability to handle customer complaints or issues promptly and professionally.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other operational tools.
  • Strong attention to detail and ability to manage multiple tasks under pressure.
  • A passion for travel and customer service.

Work Environment:

  • Office-based, with occasional fieldwork (visiting travel destinations, coordinating with suppliers).
  • Standard working hours, Monday to Friday, with occasional weekends or overtime as needed during peak seasons or for urgent bookings.

Physical Requirements:

  • Ability to work at a computer for extended periods.
  • Occasional travel may be required for site inspections, supplier meetings, or overseeing tours.
