Job Summary: The receptionist serves as the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional environment. This role involves managing front desk operations, answering inquiries, and providing administrative support to the organization. Key Responsibilities: Front Desk Management: Greet and assist visitors in a friendly and professional manner. Maintain a clean, organized, and presentable reception area. Communication Management: Answer, screen, and forward incoming phone calls or emails. Handle inquiries and provide accurate information about the organization’s services. Visitor Coordination: Ensure proper visitor registration and issue visitor passes as necessary. Notify staff of visitor arrivals and manage the visitor logbook. Administrative Support: Manage and distribute incoming and outgoing mail and packages. Schedule appointments and coordinate meeting room bookings. Maintain office supplies inventory and order as needed. Recordkeeping: Maintain an updated directory of staff and contact details. Assist in organizing and filing documents. Security and Safety: Monitor access to the premises and report any security concerns. Ensure compliance with visitor and workplace safety protocols. Required Qualifications: High school diploma or equivalent; additional certification in office administration is a plus. Proven experience as a receptionist, front office representative, or similar role. Proficiency in MS Office Suite (Word, Excel, Outlook). Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Professional demeanor and appearance. Working Conditions: Full-time position with standard office hours; occasional overtime may be required. Primarily office-based with prolonged periods of sitting.
