1. Administrative Support:- Provide general office support, including handling phone calls, responding to emails, directing inquiries to the appropriate department, and managing office supplies.
- Greet and managing clients, vendors, and project managers visiting the office, ensuring they are directed at the appropriate personnel or meetings.
- Monitor and manage inventory levels, ensuring supplies are restocked as needed.
- Assist with proposal and quotation enquiries by Project Manager when necessary.
2. Operations Support:- Assist with database management of company vehicles, business cards, agreement, stamp duties and company stamps.
- Assist with preparation and issuance of LOA and Agreement (Tenancy, Joint Venture Collaboration, Project by Headquarters and Independent Project Manager).
- Manage and coordinate the renewal of all company licenses (KDN, JTKSM, MOF, CIDB, PIKM, Insurance – Company and Vehicle), ensuring timely submissions and compliance with regulations.
- Manage documentation and training records for security personnel, coordinating their completion of CSG and TNG (Training and Certification) programs, while ensuring proper filing and tracking of certifications.
- Submit security clearance requests for employees through the e-Sims Portal.
- Facilitate the purchase of SSM documents via MyData.
- Assist in preparing and issuing official letters to relevant authorities.
3. Tender Support:- Assist in the preparation, formatting, and submission of various tenders and proposals, including e-Perolehan, STOS, TM, TNB, private tenders, and others.
- Collaborate with multiple departments to gather and verify necessary documents, ensuring all required information for tender submissions is accurate and complete.
- Support the management of tender submission timelines, ensuring all documentation is submitted accurately and punctually.
