1. Administrative Management:- Handle phone calls, emails, and direct inquiries to the appropriate department.
- Greet and manage clients, vendors, and project managers visiting the office, ensuring they are directed to the appropriate personnel or meetings.
- Monitor and manage inventory levels, ensuring timely restocking of supplies.
- Oversee proposal and quotation inquiries, providing necessary support to the Project Manager.
2. Operations Management:- Manage company database for vehicles, business cards, agreements, stamp duties, and company stamps.
- Prepare and issue LOAs and agreements (Tenancy, Joint Venture Collaboration, Project by Headquarters, and Independent Project Manager).
- Oversee the renewal process of all company licenses (KDN, JTKSM, MOF, CIDB, PIKM, Company and Vehicle Insurance), ensuring compliance and timely submissions.
- Manage and maintain documentation and training records for security personnel, ensuring completion of CSG and TNG programs, and proper filing and tracking of certifications.
- Submit security clearance requests for employees through the e-Sims Portal.
- Facilitate the purchase of SSM documents via MyData.
- Prepare and issue official letters to relevant authorities as needed.
3. Tender Management:- Oversee the preparation, formatting, and submission of various tenders and proposals, including e-Perolehan, STOS, TM, TNB, private tenders, and others.
- Collaborate with multiple departments to gather and verify necessary documents, ensuring all required information for tender submissions is accurate and complete.
- Manage tender submission timelines, ensuring all documentation is submitted accurately and punctually.
