Administrative Assistant (Accounting and Purchasing)Job Summary:

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role primarily supports our accounting and purchasing departments by handling administrative tasks, maintaining records, and ensuring smooth operations. The ideal candidate should be proactive, efficient, and comfortable working in a fast-paced environment.

Responsibilities:

  • Data Entry and Record Keeping:
  • Accurately input financial data, invoices, and purchase invoice into relevant systems.
  • Maintain organized records of transactions, receipts, and vendor information.
  • Communication and Coordination:
  • Assist with email correspondence, phone calls, and scheduling meetings.
  • Coordinate with vendors, suppliers, and internal teams to ensure timely deliveries and payments.
  • Expense Management:
  • Process expense reports, reconcile credit card statements, and track departmental spending.
  • Assist in budget tracking and cost analysis.
  • Document Preparation:
  • Draft and format documents such as memos, reports, and presentations.
  • Prepare purchase orders and maintain inventory records.
  • General Administrative Support:
  • Handle office supplies inventory and replenishment.
  • Assist with filing, scanning, and organizing paperwork.
  • Provide backup support to other administrative staff as needed.

Qualifications:

  • Education: High school diploma or equivalent; additional certifications or coursework in accounting or administration preferred.
  • Experience:
  • Prior experience in an administrative role, preferably in accounting or purchasing.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Skills:
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize effectively.
  • Familiarity with basic accounting principles is a plus.
  • Work Environment:
  • This position is based in our office
  • Regular business hours from Monday to Saturday.
