SCOPE: Responsible for the preparation, typing, filing and follow-ups of all Purchasing related documents and correspondence.
JOB SPECIFICATION & RESPONSIBILITIES
1. Prepares and process all Purchase Orders based on approved Purchase Requests. To ensure all Purchase Order are mailed out to suppliers promptly.
2. To ensure and follow-up with suppliers on all items ordered to be delivered within the stated period of time.
3. Ensure that the market lists are submitted to purchasing department not later than 13:00 hours daily. Orders to be placed by telephone or faxed to appointed suppliers only.
4. Maintains paper flow distribution between Purchasing Department and other departments.
5. Maintains all files, quotations and correspondence in proper manner.
6. Participates in obtaining quotations with the Purchasing Manager from time to time.
7. To co-ordinate and assist on up-to-date information and changes of daily events with the Purchasing Manager.
8. To maintain efficient and courteous telephone communication within the hotel and outside the hotel.
9. To ensure all work are carried out promptly, accurately and efficiently to achieve high standard leading to total hotel satisfaction.
10. To maintain an adequate stock of office supplies and to initiate necessary requisitions with the approval of the Purchasing Manager.
11. To attend departmental meetings and training programs when required.
12. To ensure that the receiving sections are provided with all documents for the prompt and accurate receipt of goods ordered.
13. To maintain high level of co-operation and professionalism with all operating departments within the hotel and other outside parties when representing the hotel.
14. To work closely with the Purchasing Manager in areas required to promote the professional operating of the purchasing department.
15. To attend departmental meetings and training programs when required.
16. To comply with the hotels rules regulations.
17. To perform all other duties than the above requested by the hotel’s management and direct superior.
