The Administrative Coordinator will be responsible for providing organizational, clerical, and operational support to ensure the smooth and efficient functioning of the office. The individual in this role will coordinate a variety of administrative tasks, manage scheduling, assist with communication, and maintain office operations. 1) Office Administration: Coordinate day-to-day administrative operations and office procedures. Handle phone calls, emails, and in-person inquiries, directing them to the appropriate departments or personnel. Manage office supplies inventory and place orders as necessary. Ensure that office equipment is functioning properly and arrange for maintenance when required. 2) Scheduling and Coordination: Organize and maintain calendars for meetings, events, and appointments. Coordinate logistics for meetings, including room reservations, catering, and technical equipment. Assist with travel arrangements and accommodations for staff or guests. 3) Document and File Management: Prepare, proofread, and edit correspondence, reports, and presentations. Maintain and organize files, both physical and digital, ensuring proper filing systems are in place. Ensure compliance with company policies regarding documentation and confidentiality. 4) Communication Support: Serve as a point of contact for internal and external communication. Facilitate communication between departments, staff, and external partners. Prepare and distribute memos, newsletters, or general communications as needed. 5) Event and Meeting Coordination: Assist with organizing company events, conferences, or team-building activities. Take meeting notes and prepare minutes for distribution to relevant stakeholders. Ensure timely follow-ups and tracking of action items from meetings. 6) Financial and Budget Support: Help track office expenses and assist with budget preparation and reporting. Process invoices and manage basic accounting tasks related to office operations. 7) Other Duties: Perform other duties as assigned by management to support the overall administrative function of the office. Maintain confidentiality regarding sensitive information.
