Senior Manager (Head of Warehouse Operation East Malaysia)

Job Purpose:

The Head of Warehouse Operations Unit is responsible for planning and managing all warehouse activities to achieve the unit's objectives and meet annual KPIs in accordance with BERNAS policies and procedures. This role entails enhancing business processes and policies to drive operational efficiency and effectiveness.

Accountabilities:

1. Compliance with policies and operational consistency

Oversee staff adherence to SOPs for warehouse management, safety, CGSO, KPI and other policies.
Propose continuous improvements to enhance operational efficiency.
Guide teams to address Compliance Department reviews within the given timeframe.

2. Maintain rice quality and effective pest control

Monitor pest control activities and rice quality in warehouses.
Address customer or wholesaler complaints promptly.
Propose improvements to enhance pest control management quality.

3. Optimize warehouse operations

strategize and monitor warehouse space utilization.
Plan and monitor rice unloading and loading productivity, suggesting improvements as needed.
Coordinate with warehouse staff to reduce loading delays and enhance turnaround times.

4. Ensure successful execution of CAPEX and maintenance projects in collaboration with relevant stakeholders

Collaborate with the Head of Facilities and Projects to request and plan Capital and Maintenance Projects based on operational needs.
Prepare and review supporting documents, including RFQs and budget approvals, to initiate project requests.
Monitor the progress of approved projects, ensuring timelines, budgets, and standards are met.
Regularly follow up with project teams and stakeholders to address delays or issues during implementation.

5. Efficient budget management

Plan and propose the annual budget in line with organizational goals.
Monitor and control operational expenses.
Ensure compliance with policies for budget utilization.
Review invoices, claims, and supporting document for accuracy.

6. Enhance customer satisfaction

Develop and manage a complaint system for internal and external feedback.
Process and resolve complaints to improve satisfaction.

7. Minimize stock loss and ensure accurate reporting

Monitor and manage the D365 Inventory System as per SOPs.
Prepare and submit periodic departmental reports to internal departments and regulators.

8. Build a skilled and competent workforce

Plan and monitor staff training programs based on Training Needs Analysis.
Conduct regular coaching sessions for staff development.

9. Foster a positive organizational culture

Demonstrate and encourage high integrity practices in the workplace.
Hold regular meetings to promote integrity, customer focus, and teamwork.

Job Requirements:

1. Qualification:

Bachelor Degree in business administration, operations management, engineering, supply chain management or a related field.

2. Years of Working Experience:

Minimum of 8 to 10 years of progressive experience in warehouse management, operations management, or related fields.

3. Specific Knowledge:

· In-depth knowledge of warehouse management principles, regulatory compliance standards, and best practices.
Strong understanding of inventory management systems, process optimization, and quality management methodologies.

4. Additional Certification

Professional certifications relevant to operational excellence, such as Lean Six Sigma, Certified Supply Chain Professional, or Certified Professional in Supply Chain Management

5. Skills:
