Job Summary :

To provide comprehensive administrative support to the company, including but not limited to managing travel arrangements, booking hotels and flights, organizing events and meetings, coordinating schedules, and arranging visitor accommodations.

Job descriptions :

1) Travel Arrangement:

  • Book flights, accommodation, and handle visa applications for employees and visiting guests.
  • Maintain and update the company’s preferred hotel list in line with company policies.
  • Source the best corporate rates for hotels and transportation.

2) Coordination and Communication

  • Liaise with travel agencies and hotels, verify invoices, and ensure accurate documentation.
  • Prepare detailed travel itineraries based on instructions from line managers.

3) Event and Meeting Arrangement

  • Plan and coordinate agendas for events and functions, including sourcing venues and overseeing preparations.
  • Organize business meetings, both local and offsite, as instructed by line managers.
  • Send invitations, compile meeting materials, make arrangements, and take meeting minutes as required.

4) Gifting and Employee Engagement

  • Arrange seasonal gift hampers and greeting cards for business associates.
  • Support the company in organizing internal events such as birthday celebrations, training sessions, and meals.

5) Fleet & Driver Management

  • Oversee the maintenance and cleanliness of the company car, ensuring it is regularly serviced.
  • Manage the company driver’s schedule to ensure optimal utilization.

6) Administrative Support

  • Assist line managers with various administrative tasks as needed.
  • Handle additional duties and ad-hoc projects assigned by line managers.

Job Requirement :

  • Diploma in a related field
  • At least 3 years of relevant working experience
  • Good communication and interpersonal skill
  • Detailed oriented, pro-active and self-motivated
  • Ability to work independently and perform well under pressure
  • Proficient in Microsoft Office application
  • Good command of spoken and written English, and able to speak in Mandarin will be an added advantage.

Job Types: Full-time, Permanent

Pay: RM4,000.00 - RM4,500.00 per month
