The primary role of an HR Executive is to efficiently manage and support the full employee lifecycle, including recruitment, compensation and benefits administration, employee development, employee relations, offboarding and exit. The HR Executive plays a vital role in aligning HR functions with organizational goals and promoting a productive workforce.

Key responsibilities:

Compensation & Benefits

  • Ensure timely preparation and submission of monthly payroll to HQ for both part-time and full-time employees.
  • Accurately prepare and submit part-time employee docket payments in accordance with specified timelines.
  • Generate and submit payroll reports and other HR reports to relevant departments within the designated timeframe.
  • Perform accurate data entry for payroll, including key in of new applications, salary, leave, allowances, deductions, overtime etc. ensuring minimal discrepancies.
  • Perform punch card checking during payroll preparation to ensure accuracy.
  • Update and maintain records of staff movements (new recruits, transfers, promotions, resignations, and retirements).
  • Track and update the expiration of part-time staff contracts, sending monthly reminders to Operations.
  • Enroll new employees in the company's benefits system and process termination upon resignation accordingly.

Recruitment, Offboarding & Exit

  • Assist superior in recruitment process for full-time staff as and when required.
  • Ensure all hiring procedures comply with relevant Labour Ordinance and Employment Act regulations.
  • Prepare and issue verification letters for new employees' savings accounts
  • Verify that onboarding and offboarding documentation is complete and accurate.
  • Prepare and issue Offer Letters, Confirmation Letters, Transfer Letters, Acceptance Letter of Resignation etc. as necessary.
  • Maintain and update accurate employee personal data

Employee Relations

  • Assist superior in addressing employee queries, foster a positive work environment, and helping resolve workplace conflicts.
  • Prepare necessary documentation for audits (e.g., JTK, DOSH, internal audits) as required.
  • Support management in preparing and compiling documents for case investigations when needed.

Training & Development

  • Assist superior in organizing employee training programs and support staff development initiatives
  • Attend training programs as assigned by management, ensuring continuous personal and professional development.

Others

  • Prepare and issue Guarantee Letters (GL) as needed.
  • Assist management in coordinating team engagement activities to foster employee morale and collaboration.
  • Ensure timely distribution of monthly part-time pay slips to Operations
  • Execute additional ad hoc tasks as assigned by superior as and when required

Job Requirements:

  • Degree in Human Resource Development/Management
  • Proven experience in human resources (preferably with a minimum of 2 years working experience as HR practitioner)
  • Understand basic knowledge of labor laws and statutory acts
  • Ability to handle confidential information with discretion
  • Excellent organizational skills with attention to detail
  • Good communication skills, both written and verbal (Bahasa Malaysia and English)
  • Proficient in computer applications, including Microsoft Word, Excel, Outlook, HRMS, and MS Teams
  • Capable of working independently with minimal supervision

Job Type: Full-time

Pay: RM2,400.00 - RM2,700.00 per month
