Position: Procurement Assistant

Salary: From RM 1,800 per month

Working Hours: 8:30 AM - 5:45 PM (Monday - Friday)

Location: Subang Jaya

Requirements:

  • Sijil Pelajaran Malaysia (SPM).
  • Proficient in MS Office, particularly in Excel.
  • Able to speak Mandarin
  • Own driving license B2 or D and have own transportation
  • Able to work independently and a good team player.
  • Preferably good communication and written in Bahasa Malaysia and English.

Responsibility:

  • Support in Sourcing and Supplier Identification: Assist the Procurement Executive in researching and identifying potential suppliers and subcontractors. Help maintain an updated supplier database and collect necessary documentation for supplier evaluation.
  • Assist with Price Negotiation: Provide support during price negotiations by preparing comparative analyses, gathering market data, and maintaining records of quotations.
  • Purchase Order Coordination: Prepare purchase requisitions and assist in generating purchase orders under the guidance of the Procurement Executive. Track order progress and follow up with suppliers to ensure timely delivery.
  • Vendor Communication: Act as a point of contact for routine vendor communications. Assist in addressing supplier inquiries, clarifying order details, and escalating concerns to the Procurement Executive when necessary.
  • Contract and Documentation Support: Help with the preparation and filing of procurement contracts, agreements, and related documentation. Ensure compliance with company policies and procedures.
  • Inventory Support: Coordinate with warehouse staff to monitor inventory levels and update procurement records. Support inventory reconciliation activities and notify the Procurement Executive of any stock discrepancies.
  • Quality Check Assistance: Work with the quality control team to inspect incoming materials and verify their compliance with specifications. Report any quality issues to the Procurement Executive.
  • Record Keeping and Filing: Maintain accurate records of purchase orders, invoices, supplier communications, and other procurement documentation. Ensure all records are organized and easily accessible for audit purposes.
