Key Responsibilities:

  • Monitor and manage the renewal of licenses and rentals (ie. Office Licenses, photocopier, etc).
  • Upkeep and maintenance of the office premises, ensuring a clean and functional work environment.
  • Manage office stationery inventory and ensure adequate supplies are maintained.
  • Monitor and process payments for utilities and other recurring expenses in a timely manner.
  • Liaise with the JMB (Joint Management Body) office on office-related matters.
  • Perform front counter tasks including telecommunication, correspondence, and welcoming guests.
  • Attend phone calls professionally, screen and forward calls, and take messages as needed.
  • Maintain records of all office supplies and equipment.
  • Ensure all incoming and outgoing official documents and parcels are properly recorded and tracked.
  • Assist in HR-related administrative tasks, such as training enrollment, request documents, etc.
  • Assist in staff engagement activities, including annual dinners, team-building events, festival activities and similar initiatives.
  • Other ad-hoc tasks as and when required.

Qualifications & Skills:

  • Minimum Diploma in any field.
  • Prior experience in office admin or receptionist roles is an advantage.
  • Good in Microsoft Office (Word, Excel).
  • Strong attention to detail and organizational skills.
  • Friendly, approachable, and customer-service-oriented.
