- Receives visitors, ascertaining the purpose of the visit, makes appointments when warranted and directs visitors to the appropriate offices or concerned staff and skillfully redirects unwanted visitors.
- Answers all calls from main switchboard, places and screens phone calls and responds to routine requests for information. Takes down messages and ensured that they are passed on promptly to the concerned person.
- Reviews, records, distributes and processes incoming and outgoing mails/couriers and correspondences, responds or drafts routine responses, and proofread outgoing correspondences in accordance with established WHO guidelines.
- Maintains a monthly record of incoming and outgoing communications for pouch, mail, courier,fax and other messengerial services including the preparation of weekly and monthly statistical reports for tracking.
- Responsible for taking photo of new staff, consultants, contracted and service staff upon arrival and issuance of the security badge.
- Responsible to take minutes of meeting during team meetings.
- Provides general clerical support to staff in the Support Office, including document preparation and filing.
- Initiates and processes general administrative tasks in procurement, fixed asset management and other relevant administrative tasks related to the office renovation.
- Ensures availability of office supplies and appropriate maintenance of office equipment.
- Focal Point for reservation of meeting rooms within the GSC.
- Performs other duties as required.
