Role Description

We are seeking a highly organized and proactive Personal Assistant to support our Managing Director. The ideal candidate will manage daily administrative tasks, coordinate schedules, and ensure smooth communication and operations. Key Responsibilities:

1. Schedule Management: Organize and maintain the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.

2. Communication: Serve as the primary liaison between the Managing Director and internal/external contacts, including screening and managing communications (emails, phone calls, etc.).

3. Meeting Preparation: Prepare agendas, reports, presentations, and minutes for meetings. Ensure the Managing Director is well-prepared for all engagements.

4. Document Management: Draft, proofread, and handle confidential documents. Maintain an organized filing system for easy retrieval of information.

5. Travel Coordination: Plan and manage the Managing Director's travel arrangements, including booking flights, accommodation, and transportation.

6. Project Assistance: Support the Managing Director in various projects by coordinating tasks, following up on deadlines, and ensuring smooth execution.

7. Event Coordination: Assist in planning and organizing events, both internal and external, such as conferences, board meetings, and corporate events.

8. Confidentiality: Handle all sensitive and confidential matters with the utmost discretion and professionalism.

Requirements:

  1. Education: A Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  2. Experience: Minimum of 1 year of experience as a Personal Assistant or in a similar role.
  3. Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); excellent communication and interpersonal skills; strong organizational abilities; attention to detail.
  4. 4. Attributes: High level of professionalism; ability to handle pressure and multitask; proactive and self-motivated with a strong sense of discretion and confidentiality.
