Key Responsibilities:

  • Answer incoming calls, take messages, and re-direct calls as required.
  • Deal with email enquiries efficiently and effectively.
  • Facilitate and coordinate meetings, conference calls, and video conferences, ensuring all participants are well-prepared and informed.
  • Take meeting minutes, and follow up on outstanding tasks to ensure timely completion.
  • Manage executives' diaries, arrange appointments, and book meeting rooms and conference facilities.
  • Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
  • Handle confidential information with discretion and maintain a high level of professionalism in all interactions.
  • Provide general administrative support, including managing and maintaining files and documents for easy retrieval and access.
  • Conduct research, compile data, and prepare reports as requested by executives.
  • Coordinate internal and external corporate events, conferences, and meetings, both on-site and off-site.
  • Support marketing initiatives both online and offline to increase brand awareness and revenue for the company.
  • Communicate with HODs and management team for feedback and improvement.
  • Prepare presentation decks and data statistics as needed for executive meetings and reports.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 3 years of experience as a Personal Assistant or in a similar administrative role supporting senior executives.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • High level of attention to detail and accuracy.
  • Strong problem-solving skills and the ability to anticipate needs.
