Job Purpose

  • The role will hold the overall responsibility of managing payroll and payroll related tasks for all Malaysia based entities.
  • The role will also support HR Ops matters for all Malaysia based entities.

Key Accountabilities

Payroll

  • Administer and manage end-to end payroll processing for all Malaysia based entities working with outsourced payroll provider.
  • Responsible for internal processing and tracking of benefits/allowances that are reimbursable/payable via payroll.
  • Plan, coordinate and manage payroll across all entities and ensure that payroll cycles and deadlines at multiple entities are adhered to by all parties involved in the payroll cycle.
  • Prepare and update monthly employee payroll data and ensure data accuracy.
  • Prepare monthly general ledger payroll entries and reports requested by Finance when necessary.
  • Responsible to ensure that monthly salary crediting, statutory and non-statutory payments are accurate, timely and in order.
  • Participates in payroll audits and complies with the procedures and policies of internal and external audit.
  • Response to employees’ queries in a timely manner.
  • Manage and ensure timely processing of vendors invoices, billing, and reconciliation.
  • Maintain high-level confidentiality regarding employee pay records and documents.

HR Operations

  • Provide administrative and operational support to the manager and HR Operations team including production of reports, letters/emails and announcements/presentations.
  • Manage and establish monthly HR statistics reports and any other HR reports.
  • Support on matters relating to vendors invoices, and expense/billing reporting.
  • Assist in HR reporting as and when required.
  • Assist and support employee life cycle activities from onboarding to offboarding process.
  • Support internal and external audit (annually/quarterly) in providing necessary document.

Qualifications, Skills & Knowledge

  • Diploma/Degree in related field.
  • Minimum 5 years proven experience in payroll processing and knowledge.
  • Understands tax regulations and compliance standards.
  • Data centric and detailed oriented.
  • Proficient in Microsoft Office application especially Excel.
  • Fluent in English language both verbal & written.
  • A strong sense of ownership when completing tasks and flexibility to assist with a variety of duties as needed.
  • Team player with the ability to work well with internal or external stakeholders.
