The Head of Department (HOD) is responsible for leading and managing the overall scheduling and logistics operations for a canopy rental company. This position ensures that all canopy rental services for events are efficiently scheduled, delivered, set up, and dismantled in accordance with client requirements and timelines. The HOD will also oversee a team, streamline processes, and optimize resource allocation to meet company objectives and customer satisfaction.

Key Responsibilities:

Strategic Planning:


  • Develop and implement comprehensive scheduling strategies for canopy rental operations to optimize resource use and meet customer demands.
  • Forecast and plan ahead for peak rental periods, ensuring sufficient inventory and manpower are available.
  • Oversee the logistical planning and coordination of multiple events simultaneously.


Team Management:


  • Lead and manage a team of drivers, and installation staff to ensure timely and accurate execution of events.
  • Assign tasks, manage workloads, and ensure clear communication among team members.
  • Conduct regular performance reviews and provide coaching to improve efficiency and productivity.


Scheduling and Logistics:


  • Create and maintain detailed schedules for the rental, delivery, setup, and dismantling of canopies and associated equipment.
  • Coordinate with clients, event organizers, and third-party vendors to ensure all canopy requirements are met for each event.
  • Handle last-minute changes, cancellations, or adjustments with flexibility and efficiency.


Inventory and Resource Management:


  • Ensure the proper management of canopy inventory, tracking availability and condition to meet demand.
  • Oversee the maintenance and procurement of canopy and equipment to ensure readiness and compliance with safety standards.
  • Manage the allocation of transport and manpower resources to ensure efficient deliveries and setups.


Client Relations:


  • Build and maintain strong relationships with clients and event organizers, ensuring clear communication of expectations, timelines, and delivery processes.
  • Act as the main point of contact for high-priority or large-scale events, ensuring all logistical aspects are planned and executed smoothly.
  • Address and resolve any client issues or concerns promptly.


Process Improvement:


  • Continuously evaluate and improve scheduling and logistics processes to enhance operational efficiency, reduce costs, and improve service quality.
  • Implement systems or software solutions to automate and optimize scheduling where applicable.
  • Monitor key performance indicators (KPIs) and provide reports to senior management on operational performance and areas for improvement.


Budgeting and Cost Control:


  • Prepare and manage budgets for the department, ensuring costs are kept within agreed limits.
  • Identify cost-saving opportunities in resource management, procurement, and logistical operations.


Health and Safety Compliance:


  • Ensure all operations comply with workplace safety standards, particularly during the setup and dismantling of canopies.
  • Conduct safety briefings for team members and ensure all staff follow safety protocols during events.


Ad-hoc Duties:


  • Take on any other responsibilities or special projects as assigned by senior management to support the company’s operational goals.


Requirements:


  • Diploma/Degree in Logistics, Business Management, Event Management, or a related field.
  • Minimum of 5-7 years of experience in logistics, event management, or related fields, with at least 3 years in a leadership role.
  • Strong project management and organizational skills.
  • Excellent communication and interpersonal skills to manage internal teams and client relations.
  • Problem-solving abilities and the capacity to manage multiple tasks and projects under pressure.
  • Proficiency in scheduling software and project management tools, candidate who comes with new system implementation experience will be advantageous.
