As ViTrox expands, we seek a dedicated and proactive individual to join our team as Executive Assistant. If you are organized, detail-oriented, and ready to play a crucial role in supporting our senior management staff and optimizing our business processes, we invite you to be part of our dynamic and growing organization.

As an Executive Assistant, you will be an essential link between our senior management staff and the smooth operation of our business. You will manage various tasks to ensure our executives' schedules are optimized, and our business processes are well-coordinated.

Core Responsibilities:-

  • Perform all executive secretarial tasks for the senior management staff
  • Maintain the calendar of appointments for senior management staff, ensuring efficient time management and prioritization
  • Prepare comprehensive summary reports and meeting minutes for business and operational activities on a regular and ad hoc basis
  • Collaborate with Department Managers to gather and validate operational metrics, ensuring accuracy and completeness
  • Organize BU’s (Business Unit) CSR activities with the team
  • Manage, facilitate, and maintain BU’s essential business processes such as Hoshin update, financial budget, and OKR (Objectives and Key Results) update
  • Assist on Merger and acquisition by liaising with the consultant, key person from acquisition company and legal
  • Perform financial health analysis together with the finance department on newly set up BU or department

Key Qualifications:

  • Professional Certificate, Degree/Post Graduate in Business Administration, Finance/Accountancy, Human Resource Management, Secretarial, Mass Communications, or equivalent
  • Previous experience in internal customer requests, project coordination, or related roles is advantageous
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills to maintain high-quality standards
  • Strong written and verbal communication skills across all levels of employees, fostering collaboration and understanding
  • Excellent presentation skills, with the ability to engage and convey information persuasively
