A) Summary/Objective Directs, administers, and coordinates the internal operational activities of the organization in accordance with policies, goals, and objectives established by the Managing Director (MD) and the Board of Directors. Leads and directs the following functions and/or business units: operations, human resources, information systems and new business coordination. Assists the MD in the development of organization policies and goals that cover sales, operations, personnel, financial performance, and growth of the functions and/or business units mentioned above. B) Job Description Operations 1. Strategy Development: Responsible for developing and implementing the Company's strategic plan. This involves working with other senior executives to identify business opportunities and potential areas of growth. 2. Operations Management: Responsible for managing the Company's operations, including its finances, human resources and technology infrastructure. 3. Budgeting and Financial Management: Responsible for developing and managing the Company's budget. This will involve working with the finance team to ensure that all expenditures are aligned with the Company's goals and objectives. 4. Talent Management: Responsible for overseeing the Company's talent management strategy, including recruitment, training and retention. Liaise with the HR team to ensure that the Company is attracting and retaining the best talent. 5. Business Development: Develop and maintain relationships with key stakeholders in various industries, including suppliers, contractors, and other industry experts. Identify potential business opportunities and develop proposals for new projects. 6. Performance Management: Responsible for ensuring that the Company is meeting its performance targets. This will involve working with department heads to identity areas where improvements can be made and implementing strategies to achieve these improvements. 7. Risk Management: Responsible for identifying and managing risks that could impact the Company's operations. Ensure that the Company is compliant with all relevant laws and regulations. 8. Human Resources: Responsible for overseeing the Company's human resources function, including talent acquisition. employee relations and performance management. 9. Stakeholder Management: Responsible for managing relationships with key stakeholders, including clients, suppliers, vendors, regulators and internal staff, to ensure that their expectations are met. 10. Process Improvements: Responsible for identifying and implementing process improvements that enhance the Company's efficiency and effectiveness. 11. Leadership: Responsible for providing leadership to the organisation and ensuring that all employees are aligned with the Company's goals and objectives. 12. Quality Management: Responsible in ensuring that projects deliverables meet the required quality standards and that quality management methodologies, such as the ISO procedures are implemented effectively. 13. Change Management: Managing change effectively, including implementing new systems and processes and ensuring that employees are adequately trained and prepared for change. Pre-Sales 1. Developing and implementing sales strategies : Work with other senior executives to develop sales strategies that align with the Company's goals and objectives. Monitor sales performance and adjust strategies as needed. 2. Managing sales teams: Oversee the sales team, providing guidance and support to help them meet their targets. This may involve conducting training sessions, setting targets and monitoring progress. 3. Coordinating with other departments: Work closely with other departments, such as marketing. finance and operations to ensure that the sales process runs smoothly. This may involve developing cross-functional teams and coordinating activities to ensure that all departments are working together effectively. 4. Building relationships with customers: Work with the sales team to build relationships with clients ensuring that their needs are met and that they receive high-quality service. This may involve attending meetings with clients, responding to queries and resolving any issues that arise. 5. Ensuring compliance: Ensure that the sales process is compliant with relevant regulations and standards. Work with other departments to ensure that all processes and procedures are followed correctly. Advertising Sales 1. Sales Strategy: Responsible for developing and implementing the advertising sales strategy for the Organisation, in order to increase revenue and market share. This includes analysing market trends, identifying new advertising opportunities and setting sales targets. 2. Sales Performance: Responsible for monitoring the performance of the advertising sales department, including the performance of individual salespeople, and making changes to improve the sales performance as needed. 3. Client Relationships: Responsible for building and maintaining relationships with key advertising clients, ensuring their satisfaction with the services provided and identifying opportunities for upselling or cross-selling. 4. Sales Training and Development: Responsible for developing and implementing sales training and development programs for the advertising sales team, ensuring that they have the necessary skills to meet their targets and achieve their goals. 5. Sales Operations: Responsible for overseeing the day-to-day operations of the advertising sales departinent, including managing budgets, forecasting revenue and ensuring that sales processes are efficient and effective. C) Supervisory Responsibility This position manages all employees of the department and is responsible for the performance management and hiring of the employees within the department/Company. D) Reports and Meetings 1. Ensure timely submission of reports. a) Weekly report must be submitted before 10.00am every Monday. 2. Attend all scheduled meetings or any other meetings scheduled by the Company on time. 3. Conduct staff review as required. E) General Management 1. To forge and effect standard operating procedures and processes in the Company wherever needed for it to function smoothly and effectively. F) Recruitment and Staffing 1. Conduct first level interview to recruit any new staff for the Company. 2. To create a succession plan for each critical position within the Company's structure wherever possible. 3. Prepare a job description for each staff so that every staff is clear about what he or she is expected to do. 4. Constantly scout for talents that might be useful to the Company in the near future. 5. Responsible for the hiring and firing of sales personnel. G) Training, Coaching and Mentoring 1. Provide skills training as and when needed to the sales/technical/project team. 2. Coach weak performers so that they improve and mentor high performers so they excel further. H) Personal Development 1. Help create a working environment that encourages creativity, innovation, passion for excellence, quality work, staff empowerment, teamwork, professionalism, honesty, discipline and integrity. 2. Uphold the Company's image and good name at all times. 5. Ensure that all staff within the Company observe good customer service policy. K) Organisational Responsibilities Innovator Development 1. Enforces all policies relating to performance evaluations and career development planning 2. Mentors key staff. 3. Creates an environment where innovators can successfully achieve professional career path goals. 4. Manages the development of key managers. Internal Operations 1. Reviews status reports of key managers and address issues as appropriate. 2. Enforces standard policies and procedures.
