Job Responsibilities:

  • Assist in preparing, organizing, and filing corporate documents, including board minutes, resolutions, and company records.
  • Draft, proofread, and send official correspondence on behalf of the company secretary.
  • Handle communication with board members, stakeholders, regulatory bodies, and other relevant parties.
  • Ensure that all official documents are securely stored and easily retrievable.
  • Assist in special projects or initiatives led by the company secretary, such as corporate restructuring, mergers, or acquisitions.
  • Ensure that all communications and documents are kept secure and private.
  • Assist with day-to-day office tasks, such as answering phones, handling mail, and managing office supplies.
  • Perform data entry and administrative duties with attention to detail and accuracy.
  • Prepare communications, such as emails, invoices, reports, and other correspondence.

Requirements:

  • Minimum SPM, Professional Cert and Diploma OR equivalent related experience.
  • At least (1-2) years of working experience as an administrative role would be an advantage.
  • Positive attitude, detail-oriented, highly responsible and able to work under pressure.
  • Ability to interact with all levels of people to address arising issues.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • Proficiency in English, Mandarin, and Malay.
