Job Responsibilities:
- Assist in preparing, organizing, and filing corporate documents, including board minutes, resolutions, and company records.
- Draft, proofread, and send official correspondence on behalf of the company secretary.
- Handle communication with board members, stakeholders, regulatory bodies, and other relevant parties.
- Ensure that all official documents are securely stored and easily retrievable.
- Assist in special projects or initiatives led by the company secretary, such as corporate restructuring, mergers, or acquisitions.
- Ensure that all communications and documents are kept secure and private.
- Assist with day-to-day office tasks, such as answering phones, handling mail, and managing office supplies.
- Perform data entry and administrative duties with attention to detail and accuracy.
- Prepare communications, such as emails, invoices, reports, and other correspondence.
Requirements:
- Minimum SPM, Professional Cert and Diploma OR equivalent related experience.
- At least (1-2) years of working experience as an administrative role would be an advantage.
- Positive attitude, detail-oriented, highly responsible and able to work under pressure.
- Ability to interact with all levels of people to address arising issues.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- Proficiency in English, Mandarin, and Malay.
