JOB SUMMARY

The Senior Executive, Human Resource play a key role in supporting HR functions, including recruitment, employee relations, benefits administration, and compliance. This role requires a proactive and organized individual who can assist in managing HR processes and contribute to the overall efficiency of the HR department.

KEY RESPONSIBILITIES

Payroll:

  • Compile employees’ allowance, commission on monthly basis
  • Verify employees Attendance and Overtimes hours
  • Compute payroll in monthly basis
  • Remit payment to statutory contributions (i.e.: EPF, SOCSO, HRDC etc.)
  • Preparing the Payroll report by 25th of each month and provide to the authorized person for verification and approval.

Benefits Administration:

  • Administer employee benefits programs, including health insurance, retirement plans, and other perks.
  • Assist employees with benefit enrolment, changes, and claims processing.
  • Collaborate with benefits provider(s) to ensure accurate and timely administration.

Recruitment and On-boarding:

  • Assist in creating job descriptions and posting job openings on relevant platforms.
  • Screen resumes, conduct initial interviews, and coordinate interviews with hiring managers.
  • Coordinate new hire on-boarding, including paperwork, orientation, and training schedules.
  • Administer the visa Application Process for Expatriate are carried out as per approval process and coordinate with reasonable timeframe.
  • Obtain approval for Expatriate Hiring from Labor Office (JTK) and Social Security Organization (SOCSO/PERKESO)
  • Liaise with Local & Oversea Recruitment Agency for candidates’ on-boarding arrangement

Training and Development:

  • Coordinate employee training initiatives, workshops, and development programs.
  • Identify training needs and collaborate with Campus/Department Heads/Managers to design relevant training content.
  • Ensure the employees’ training enrolment executed as per Global direction either through Learning Management System (LMS) – Percipio or other sources.
  • Employee Relations:
  • Address employee basic inquiries regarding HR policies, benefits, and other HR-related matters.
  • Support disciplinary actions in compliance with company policies and legal regulations.

Performance Management:

  • Support performance review processes, including documentation and follow-up.
  • Assist Campus and Department Heads in setting performance goals, providing feedback, and addressing performance concerns.

HR Administration:

  • Maintain accurate and up-to-date employee records, both physical and electronic.
  • Assist in HR related compliance tasks, such as ensuring adherence to labour laws and regulations.
  • Contribute to HR projects such as diversity and inclusion initiatives, employee engagement programs, and process improvements.
  • Assist in developing, updating, and communicating HR policies and procedures.
  • Ensure employees are aware of and comply with organizational policies
  • Administer all staff permit (i.e.: Employment Pass, Teaching Permit etc.)
  • Administer resignation records and data from various sources (i.e. resignation letters, HRIS systems, emails, etc.) to ensure employee resignations are well handled in accordance to the Company's guidelines and process.

Perform all other duties as and when assigned by the Supervisor/Management

JOB SPECIFICATIONS

Qualification: Bachelor Degree in Human Resource Management/Business Management/Social Science or related field from recognized Higher Institution.

Skills & Knowledge Required:

  • Good Experience in Payroll Administration.
  • Experience in using SAGE system is a plus.
  • Comprehensive knowledge of Malaysia's Labour Law and Industrial Relation Act.
  • Well versed in government laws requirements such as LHDN, SOCSO, EPF, HRDC etc.
  • In-depth understanding of general HR policies and procedures.
  • Strong analytical skills
  • Good business writing skills both English and Malay

Experience:

  • Minimum of 3-4 years experience as HR Generalist with strong track record in Human Resource field
  • Experience in education industry is an added advantage.

  • Strong analytical and problem solving skill, with the ability to manage multiple tasks efficiently.

  • Computer literacy in Microsoft Office Application (i.e.: Microsoft Excel, PowerPoint, etc.)
