We are seeking a detail-oriented and proactive Admin Executive to join our team. In this role, you will manage various administrative tasks, oversee the timely renewal of essential documents, and assist the HR Manager in supporting HR functions. You will play a vital role in ensuring smooth office operations and compliance with necessary regulations.

Key Responsibilities:

Document Management:

  • Oversee the renewal process for company documents, licenses, and permits, ensuring compliance with regulatory requirements.
  • Maintain an organized filing system for both physical and digital documents, ensuring easy retrieval and security.

Administrative Support:

  • Manage day-to-day administrative tasks, including scheduling meetings, handling correspondence, and maintaining office supplies.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.

HR Assistance:

  • Assist the HR Manager with recruitment processes, including posting job ads, screening resumes, and coordinating interviews.
  • Support onboarding processes by preparing necessary documentation and assisting new employees with orientation.
  • Help maintain employee records, ensuring accuracy and confidentiality.

Communication & Coordination:

  • Serve as a point of contact for internal and external inquiries, providing excellent customer service.
  • Coordinate with various departments to gather necessary information and documentation for renewals and HR-related tasks.
  • Track renewal deadlines and proactively communicate with team members regarding upcoming expirations.

Reporting & Compliance:

  • Assist in preparing reports for management regarding document status, compliance metrics, and HR-related data.
  • Stay updated on relevant regulations and company policies to ensure compliance across all administrative functions.

Special Projects:

  • Participate in special projects and initiatives as directed by the HR Manager or management.
  • Provide support to other administrative staff as needed.

Qualifications:

  • Diploma/Bachelor’s degree in Business Administration, Human Resources, or a related field.
  • Proven experience in an administrative role, preferably in a corporate environment.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
  • Familiarity with HR processes and relevant regulatory requirements for document renewals is a plus.
  • Ability to work independently and collaboratively within a team.

Job Type: Full-time

Pay: RM2,500.00 - RM3,500.00 per month
