To be successful in this role, we will need you to have:
- Candidate must possess at least a Diploma in Business Studies / Administration / Business Management, Secretarial or equivalent.
- Minimum 2 years of working experience as Personal Assistant or Executive Assistant.
- Required skill(s): Basic accounting and taxation knowledge, Business Management Skill
- Proficient in Microsoft Office and Google Suite.
- Ability to write excellently in English and Mandarin, as interactions is with Mandarin speakers.
- Trustworthy and able to maintain confidentiality with high level of commitment and initiative. Attention to detail.
- Excellent organizational and problem-solving skills. Capable to multitask and prioritize effectively.
- Able to work independently with minimal supervision and collaboratively in a team environment.
- Possess own transport and willing to travel as and when required. Flexible to work outside of regular office hours and weekends when required.
- Interpersonal skills excellent dealing with internal and external parties.

You will play an important role, such as:
- Provide administrative support and secretarial functions to the Director, managing their diary, scheduling meetings and appointments. Handling travel arrangements when necessary.
- Act as the first point of contact for the Director, drafting letters, emails, reports, and correspondence, ensuring that all inquiries are dealt with promptly and efficiently.
- Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate.
- Conduct research, compile data, and prepare materials for the Director's review and decision-making.
- Prepare and collate documents and presentations for the Director, ensuring that all materials are accurate, professional, and delivered on time.
- Maintain an accurate and up-to-date filing system for the Director's office, ensuring that all documents and correspondence are appropriately filed and easily accessible.
- Attend meetings and events with the Director, taking minutes and following up on action items as required.
- Occasionally travelling with Director to take notes or dictation at meetings or to provide general assistance during business trips.
- Deputising for the Director, making decisions and delegating work to others in his absence.
- Liaise with internal and external stakeholders on behalf of the Director, building and maintaining positive relationships with key contacts.
- Exercise good judgements in managing priorities, ensure effective appointments and time achieve a smooth management to flow of Director’s schedules.
- The job holder may be required to perform other ad-hoc tasks that may be deemed necessary.
Working Hours:
You will need to be available when the director need you for task handling after office hours, including Weekend and Public Holiday.
Candidate who able to on-board immediately will be considered primarily.
