Job Description - Examination Executive

  • Ensuring and providing safe custody on examination material, including examination question paper.
  • Organizing and ensuring the examination flow, examination materials and question papers are well prepared and maintained.
  • Responsible for ensuring that examination question papers received from the faculties’ accordance with standard template.
  • Coordinating and providing security during the examination question papers printing processes, preparation of examination materials and storing.
  • Organizing and maintaining invigilator Forms filing record.
  • Liaising with the Senior Leadership Team, Key Curriculum Leaders and other relevant staff regarding examination entries assessment procedures and protocols, and ensuring the smooth running of the examination cycle at all key stages for both internal and external exams.
  • Creating exams schedules for internal and external exams
  • Downloading all relevant base data into Exams Management system
  • Liaising with the Senior Leadership Team (Data & timetabling to discuss deadlines and other exam related issues
  • Ensuring that all required information, including that for external candidates, is obtained and submitted accurately within set deadlines in relation to examination entries, changes, withdrawals, remark requests, and assessment data. Keep up to date with all rules and regulations and deadlines
  • Dealing with post results enquiries, processing and communicating this to departments and parents/carers.
  • All aspects of the conduct of both external and internals examinations as per examination board requirements and department policies and procedures
  • Providing with exams schedules, updating the systems
  • The processing and issuing of examination results in line with examination board requirements and department policies and procedures
  • The line management of all examination invigilators including their induction, training, timesheets, rotas etc.
  • Proficiency in working with standard office applications such as MS Word, Excel and Outlook
  • Excellent organizational and time management skills
  • The ability to operate a computerized administrative system / database and produce reports from this database  Capable to prioritize and multitask
  • Ability to manage own workload

Job Description - Librarian

1) Managing lending services activities

  • Ensure that the Lending Services Desk is operating as required by seating at the Lending Desk.
  • Preparation of Accreditation documentation.
  • Handle lending transactions
  • Prepare weekly/monthly reports
  • Ensure maintenance of shelving activities
  • Preservation & conservation of library materials in all formats
  • Monitor and ensure the tidiness of reading and leisure areas
  • Ensure the security of Library areas
  • Monitor and review the delivery of Reserve and Multimedia services
  • Prepare and handle Accreditation visit
  • Assist the Head of Library with the annual budget
  • Work with the Head of the Library in social media activities

2) Conduct reference services, user education, information literacy, library tour and information services

  • Reference services and user education
  • Information literacy (IL) & Library Briefing & Tour
  • Provision of online and print information services guides
  • Contribute to the continuous improvement of the Library
  • Collection development
  • Promotion & Marketing

3. Manage & develop Library Policies and SOP
4. Manage the Acquisition of library materials in print books and e-books and multimedia and print, subscribe and renew electronic serials and online resources.
5. Manage and handle the Cataloguing and Processing of library materials (print book, print serials and non-serial)
6. Assist the Head of Library in Creating and Conducting Library Events
7. Other duties as assigned by Head of Library
