Job Summary: The Procurement and Documentation Executive is responsible for managing the procurement process and ensuring the proper handling of documentation related to purchasing, tendering, and contract management. This role involves coordinating with vendors, preparing and reviewing procurement documents, and ensuring compliance with organizational policies and procurement regulations. Key Responsibilities: - Manage the end-to-end procurement process, including sourcing, evaluation, and vendor selection. - Prepare, review, and maintain procurement documents such as RFQs, tenders, purchase orders, and contracts. - Ensure compliance with procurement policies and legal regulations. - Maintain accurate records of all procurement activities, including vendor contracts and documentation. - Coordinate with internal departments and suppliers to meet procurement needs and deadlines. - Track and monitor the status of contracts and procurement transactions. - Assist in the preparation of tender submissions and respond to vendor inquiries. - Analyze supplier performance and negotiate favorable terms. Qualifications: - Bachelor’s degree in Business, Supply Chain Management, or a related field. - 2-3 years of experience in procurement, tendering, or documentation management. - Strong organizational and communication skills. - Proficiency in Microsoft Office (Word, Excel, PowerPoint). -Knowledge of procurement software and systems (e.g., SAP, Oracle) is an advantage. - Attention to detail and ability to work under deadlines.
