Education & Training

  • Degree or Diploma or Certificate in Personnel/Human Resource Management, Business Administration

Experience

· Minimum of 2 years experience in Human Resource and Administration

Skill / Attributes

  • Proficient in English and Bahasa Malaysia, with good oral and written communication skills
  • Good interpersonal skills
  • Good user of Microsoft Office software
  • Basic knowledge of HRIS Software

Training

  • To analyze and identify staff, training and development needs
  • To identify, assess and recommend suitable external and internal courses to meet these needs
  • To administer training including assisting departments in the selection, nomination, registration, confirmation and payment for staff training
  • To establish and maintain complete and up-to-date records and prepare relevant report and analysis according to ISO Procedure
  • To ensure the compliance of ISO 9001:2000 Standard (if any)

Insurance and Medical Records

  • To control and maintain medical records in the system
  • To verify invoices from clinics/hospitals
  • To monitor and produce reports on balance of staff medical & hospitalization entitlement
  • To liaise with clinics on updated staff list
  • To administer staff insurance including staff coverage, verifying claims and insurance bills

Employee Relations/Industrial

· To assist in organization of staff welfare program and company’s sports and recreation activities

· To monitor, record and prepare reports/letter on staff disciplinary matters

· To assist in conducting investigations and domestic inquiries upon receipt of complaints or reports on indiscipline

Policies and Procedures

  • To ensure that Policies and Procedures including the Employees’ Handbook are adhered to.

Performance Management System

· To administer the implementation of PMS based on schedule and liaises with Department/Division Head

· To prepare summary reports to seek management’s approval for yearly increment and bonus

Manpower Planning and Recruitment

  • To assist in the development of manpower budgets and manpower planning to meet Company’s current and future requirements for human resources
  • To assist in preparing manpower reports to provide reliable and up to date information on new staff appointments, recruitment status and staff resignation for submission to management
  • To coordinate the recruitment process including the preparation and placement of recruitment advertisements, shortlisting, interviewing and appointment of candidates.
  • To coordinate an induction program and session with senior management for new staff
  • To assist in the preparation of yearly budget for Human Resource Department

Payroll Administration

To administer and verify the monthly payroll of staff including monthly salary, bonus, increment, salary deduction and overtime

Maintenance of Employment Records

· To ensure a complete and up-to-date staff records in the record system are maintained

· To monitor staff movement, new recruitment, staff transfer promotion and re-designation and updates staff database on changes

· To prepare employment verification letter when the need arises

Generation of Reports

· To generate monthly payroll report for Finance or any other reports request by The Management

Liaison with Statutory Bodies

· To ensure payments to statutory bodies on such deduction as EPF, SOCSO, Income Tax etc. are on time

· To liaise with the statutory bodies on the deduction

· To administer, check and submit yearly EA forms to the Corporate Office for signatories

Human Resource Announcement

· To inform all staff for any HR announcement. e.g. staff resignation, company events, condolences etc.

Filing and Record Keeping

· To ensure all Personal Files are properly filed and maintained.

· To establish and maintain complete and up-to-date records and prepare relevant report and analysis for management and Group Human Resource
