We are looking for a Service Coordinator to help manage resource allocation for services and bids. This role ensures that service teams have the necessary resources (manpower, equipment, materials) to complete their work on time and according to service goals. The ideal candidate is highly organized, detail-oriented, and able to work well with others in a fast-paced environment.

Work Location:

KL Sentral. Kuala Lumpur

Key Responsibilities:

  • Resource Coordination:

Assist in organizing and assigning resources to various services. Help project managers ensure that all necessary resources are available and properly scheduled.

  • Service Support:

Keep services schedules up to date and aligned with resource availability. Monitor services progress to foresee any potential resource issues.

  • Bid Coordination:

Work with the bids team to gather resource requirements for upcoming projects and services. Make sure resource estimates are accurate and available for project or service proposals.

  • Scheduling and Tracking:

Help develop resource schedules to ensure resources are used effectively. Track and report on resource allocation and usage.

  • Data Entry and Reporting:

Maintain accurate resource data in project management systems and generate reports on resource usage and project progress.

  • Communication:

Act as a point of contact between project engineers, department heads, and the resource planning team to share updates and changes.

  • Administrative Support:

Assist the resource planning team with tasks like scheduling meetings, preparing resource documents, and organizing discussions.

  • Issue Resolution:

Identify potential resource conflicts or shortages and work with the team to resolve them.

  • Process Improvement:

Help improve resource planning processes by providing feedback and suggesting more efficient methods.

  • Qualifications and Skills:
  • Diploma or Bachelor’s degree in Project Management, Business Administration, or a related field.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Good communication and interpersonal skills to work effectively with cross-functional teams.
  • Proficiency in project management software (e.g., MS Project, Primavera) and other resource planning tools.
  • Basic data analysis skills and attention to detail for tracking resource allocation and generating reports.
  • Ability to work under pressure and meet tight deadlines.
  • Experience in a project-based industry such as construction, oil & gas, or engineering is a plus.

Preferred Qualifications:

Certification in project coordination or administration.

Prior experience in coordinating resources for medium-scale services or bids.

Knowledge of contract management or procurement processes.
