Daily Administrative Management

  • Responsible for maintaining the company's daily office environment, including coordination of office facilities and cleaning services.
  • Handle daily administrative tasks such as answering phones, receiving visitors, and managing incoming and outgoing mail and packages.

    Office Supplies and Equipment Management

    • Responsible for the procurement, inventory management, and regular stocktaking of office supplies to ensure adequate availability.
    • Maintain office equipment and coordinate with vendors for repair and maintenance.

      Meeting and Travel Arrangements

      • Organize internal and external meetings, set up meeting spaces, and prepare relevant materials.
      • Manage employee travel arrangements, including flight bookings, hotel accommodations, and transportation.

        Document Management

        • Collect, organize, archive, and safeguard company documents to ensure standardized management.
        • Prepare and distribute internal notifications and announcements, assisting in the implementation of company policies.

          Employee Attendance Management

          • Manage and maintain the employee attendance system, regularly updating records and preparing monthly attendance reports.
          • Handle employee leave, overtime, and time-off requests, ensuring data accuracy.

            Expense Management

            • Process daily administrative expense reimbursements and budgets, ensuring accuracy and timely payments.
            • Assist the finance department in reviewing and settling vendor invoices.

              Employee Activities and Corporate Culture

              • Assist in organizing and planning company events, including holiday celebrations, team-building activities, and annual meetings to enhance corporate culture.
              • Coordinate logistics for employee activities, including venues, catering, and other support services.

                HR Support

                • Assist in processing new employee onboarding and offboarding procedures, ensuring the signing and archiving of relevant HR documents.
                • Help update and manage employee benefits and health insurance.
                • Execute the recruitment process, including posting job openings, screening resumes, arranging interviews, and following up on results.

                  Legal and Compliance Support

                  • Assist in handling company legal matters, including annual inspections, updates of licenses, and archiving relevant legal documents.
                  • Ensure that company administrative tasks comply with local laws and regulations.

                    Social Security and Provident Fund Management

                    • Manage local employees' social security (SOCSO), provident fund (EPF), and related benefits submissions and payments, ensuring timely compliance with Malaysian regulations.
                    • Maintain employee social security and provident fund account information, regularly verify payment data, and address employee inquiries.
                    • Assist in keeping up with updates on government welfare policies to ensure company compliance.

                      Other Tasks

                      • Complete other tasks assigned by supervisors and group-designated personnel, and assist with administrative affairs in other internal departments.

  • Diploma or higher, preferably in Business Administration, Administrative Management, or a related field.
  • At least 2 years of relevant administrative experience, with local work experience in Malaysia preferred.
  • Familiarity with Malaysian labor laws and administrative processes.
  • Strong organizational and communication skills, with the ability to manage multiple tasks and meet deadlines.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.).
  • Fluent in Bahasa Malaysia and English; knowledge of Mandarin is a plus.
  • Candidate must have skills and knowledge in recruitment, employee relations and administrative support.
