Key Responsibilities
· Visa Guidance and Processing
o Advise international students on Malaysia’s student visa application process, documentation requirements, and application timelines.
o Assist students in applying for new visas, visa renewals, and special passes, ensuring accuracy and timely submissions.
o Review visa applications and documentation for compliance with Malaysian immigration regulations and EMGS guidelines.
o Submit visa applications to the EMGS portal and follow up on the approval status.
· Compliance with Malaysian Immigration Laws
o Ensure the institution’s compliance with immigration laws under the Immigration Department of Malaysia and guidelines issued by the Ministry of Higher Education (MOHE).
o Stay updated with any changes to Malaysia's immigration policies and regulations affecting international students.
o Ensure that students maintain valid student pass status throughout their study period, advising them on renewal deadlines and conditions for post-study visas.
· Student Welfare and Immigration Support
o Provide expert advice to students on work rights (e.g., part-time employment rules) and visa regulations during and after studies.
o Assist students in handling visa rejections, appeals, and overstay issues in collaboration with relevant authorities.
o Help international students with medical screenings, visa endorsements, and applications for dependent passes (if applicable).
· Liaison with Government and Other Authorities
o Serve as the primary liaison between the institution, EMGS, the Immigration Department of Malaysia, and other relevant governmental bodies.
o Coordinate with admissions, finance, and academic departments to ensure visa compliance and prompt processing of documents.
o Conduct workshops and briefings for international students regarding visa regulations, renewals, and legal obligations in Malaysia.
· Case Management and Documentation
o Maintain up-to-date and accurate records of all visa applications, renewals, and students’ immigration statuses using institutional systems and the EMGS portal.
o Track visa renewals, cancellations, and expiry dates, notifying students of upcoming deadlines.
o Prepare reports on the number of international students, visa processing statistics, and compliance audits as requested by management or regulatory authorities.
· Risk Management and Problem-Solving
o Identify potential risks or challenges related to student visa processing and provide effective solutions.
o Handle emergency cases related to immigration status and assist students with resolving urgent visa issues.
Qualifications
· Education:
o A diploma / bachelor’s degree in a relevant field such as International Relations, Immigration Law, Education Management, or any related discipline.
· Experience:
o At least 2-3 years of experience working in visa processing, immigration advisory, or a similar role, preferably within an educational institution.
o Knowledge of Malaysian immigration laws, visa processes, and the requirements of EMGS.
· Skills:
o Strong understanding of Malaysian immigration regulations and procedures for international students.
o Excellent interpersonal and communication skills, with the ability to interact with students from diverse cultural backgrounds.
o Proficiency in using visa management software and the EMGS online portal.
o Detail-oriented, with strong organizational skills to manage multiple cases and deadlines.
o Problem-solving skills, especially in resolving visa complications and compliance issues.
Skills and Competencies
· Cultural Awareness:
o Ability to work effectively with students and stakeholders from diverse national and cultural backgrounds.
· Legal and Regulatory Knowledge:
o In-depth knowledge of the Education Malaysia Global Services (EMGS) requirements and the Malaysian Immigration Act.
· Administrative Skills:
o Proficiency in managing documentation and student records in compliance with data protection laws and university policies.
Additional Requirements
· Ability to work in a fast-paced environment, especially during peak periods (e.g., start of semesters and enrolment periods).
· Willingness to attend relevant immigration training and workshops to remain up-to-date on changes in visa policies and immigration law.
· Legal work authorization to operate in Malaysia.

Pay: RM2,500.00 - RM3,000.00 per month
