Work Location: Cyberjaya Selangor Duration: Oct 2024 - Oct 2025 (Contract basis) Description/Comment: • Reports to VP or Senior Manager JG1 Delivers administrative and / or secretarial support to senior management, operating within the context of a fast-paced, challenging and changing operational environment. • Deals with important and pressing deadlines; addresses a variety of issues and questions that may involve a degree of complexity; will need to draw on a limited number of sources of information within their own area/department to solve problems. • Performs tasks (booking, scheduling, content preparation), utilising procedures that structured and standardised procedures; engages relevant support for cases of advanced complexity. • Communicate with tact - exercising influence and persuasiveness - for effective interaction with others, including team members and colleagues, but also other managers and senior managers. • Deals with most-confidential information within and outside of the Company. • Develop and maintain a sound understanding of business activities and objectives of the manager or team they support, in order to be able to provide the required support. • Plan, prioritise and effectively allocate time to specific tasks. • Maintain an effective agenda and an efficient diary on manager's behalf. • Develop and maintain a wide network of relevant business contacts, both internally and externally, on managers' behalf. Process complex expense claims. Additional Job Details: • We are seeking a highly organized and proactive Business Administrator to join our team. • The ideal candidate will be responsible for managing a variety of administrative tasks, coordinating meetings, and providing support for company events. • This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Key Responsibilities: Meeting Coordination: • Schedule and organize meetings, including booking meeting rooms and arranging necessary equipment. • Prepare and distribute meeting agendas, minutes, and follow-up action items. • Coordinate with internal and external stakeholders to ensure smooth meeting logistics. Administrative Support: • Manage daily office operations and maintaining office supplies. • Support the management team with various administrative tasks as needed. Event Assistance: • Help plan and execute company events, such as conferences, workshops, and team-building activities. • Coordinate event logistics, including venue selection, catering, and transportation. • Assist with event promotion and registration processes. Qualifications: • Proven experience as a Business Administrator or in a similar administrative role. • Excellent organizational and time-management skills. • Strong written and verbal communication abilities. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Ability to work independently and as part of a team. • High level of attention to detail and accuracy.
