As one of the UK’s fastest-growing MSPs, we’re looking for a Planned Works Coordinator to join us!

Location: Cyberjaya, Malaysia

Salary: Competitive Base + Benefits

Job Type: Permanent, Full-time

Hours: 40 hours per week primarily covering UK hours

Reporting to the Planned Works Manager in UK, we are looking for a Planned Works Coordinator to efficiently manage and coordinate any planned works or changes initiated by third parties/ service partners and provide guidance around Planned Works Process where appropriate.

Working as One Team to promote best practices, our Planned Works Coordinator will take responsibility to streamline the process of incorporating third-party changes while minimizing risks and maximizing efficiency.

Responsibilities

Scheduling & Coordination:

Oversee scheduling and coordination of planned works with third-party vendors and service partners.

Collaborate with internal teams and stakeholders to ensure smooth planning and communication.

Documentation Management

Maintain accurate records in ServiceNow, including schedules, change requests, and communication logs.

Ensure up-to-date Forward Schedule of Planned Works (FSPW) and distribute to stakeholders.

Customer Communication

Act as the primary contact for communicating planned works to customers and internal teams, provide timely updates on progress and schedule changes to all relevant parties.

Reporting & Analysis

Generate reports to track planned works and analyze the efficiency of coordination processes and recommend process improvements to enhance workflow and resource management.

Process Improvement

Continuously improve documentation and workflows to streamline coordination and communication.

What We Are Looking For

Service & Change Management Experience: Proven expertise in managing service operations and change management processes.

Proficiency with Tools: Strong working knowledge of ServiceNow and Microsoft applications, including Excel, Word, and PowerPoint.

Communication Skills: Excellent written and verbal communication skills, with the ability to convey information clearly and effectively.

Analytical Skills: Ability to analyze information thoroughly and maintain attention to detail.

Team Collaboration: Strong ability to work effectively within a team environment.

Interpersonal Skills: Exceptional interpersonal skills for building relationships and communicating with diverse stakeholders.
