Role Description

We are seeking a motivated and detail-oriented Human Resource & Administration Executive to join our dynamic team. The ideal candidate will play a crucial role in managing various HR functions and administrative tasks to support our growing organization.

Responsibilities

  • Manage the end-to-end recruitment process, including understanding job requirements from hiring managers, sourcing candidates, screening applications, scheduling interviews, conducting salary calibrations, and facilitating new hire onboarding.
  • Monitor and process staff onboarding, confirmations, contract renewals, promotions, adjustments, appraisals, and exit interviews. Ensure all HR documentation is accurate and up to date. Manage and review staff attendance, leave records, and claims in accordance with company policies.
  • Develop and maintain HR policies and procedures, ensuring compliance with statutory requirements and regulations.
  • Process monthly payroll and prepare related reports for submission to relevant government authorities (e.g., EPF, SOCSO, IRB, HRDF). Handle yearly submissions to IRB and preparation of EA forms.
  • Liaise with government authorities (e.g., EPF, SOCSO, IRB, Labour Office, Immigration Office, MDEC) as required.
  • Manage applications, renewals, cancellations, and tax clearances for foreign knowledge workers’ permits.
  • Collaborate with the Chief Operating Officer on disciplinary matters, including counseling, show cause notices, and disciplinary actions.
  • Manage vendor registration and HRDF applications, ensuring proper documentation and compliance.
  • Oversee the purchase of pantry supplies, welfare items, and stationery.
  • Arrange monthly company events within the budget.
  • Assist in Finance-related matter eg: upload and record payments, bank reconciliation
  • Other ad hoc duties as assigned from time to time.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum of 1 year of experience in HR and administrative roles.
  • Strong understanding of HR best practices and financial regulations.
  • Familiarity with payroll software and HR processes.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Familiarity with local labor laws and regulations.
  • Knowledge of expat hiring processes and relevant regulations is a plus.
