Job description

Assistant Manager, Medical Records, will oversee and manage the daily operations of the Medical Records Department, ensuring compliance with confidentiality standards, the smooth flow of patient records, and adherence to hospital policies. This role involves close coordination with healthcare teams, efficient handling of requests, and leadership in maintaining accurate and accessible medical records.

  • Uphold strict confidentiality protocols, particularly concerning sensitive patient information, in line with healthcare privacy regulations and the Privacy Act.
  • Continuously monitor and assess the workflow within the department, addressing backlogs proactively by implementing corrective measures to ensure smooth and timely operations.
  • Collaborate with hospital wards and staff to ensure that all medical records are promptly returned to the department following patient discharges.
  • Provide comprehensive training to new staff members, ensuring they understand departmental processes and adhere to data privacy and medical record management standards.
  • Safeguard the integrity and accuracy of patient records by ensuring that sub-files and relevant documents are properly retrieved, updated, and filed in the hospital’s centralized record system.
  • Assist with medico-legal documentation and requests, ensuring that legal standards and hospital protocols are followed. Refer complex cases to the medico-legal team when necessary
  • Manage inquiries from staff, patients, and external agencies, providing accurate information in line with hospital policies and privacy regulations. Direct medico-legal inquiries to the relevant department when applicable.
  • Prepare and submit statistical reports as required by the Ministry of Health (MOH), ensuring accuracy and timeliness in compliance with regulatory standards.
