Site Secretary
The Site Secretary is responsible for providing administrative and secretarial support to the Project Director and team members.
A summary of the responsibilities of this position are, and not limited to, as follows:
- Support all administrative work required by Client's representatives, Project Director and team members to ensure smooth flow of daily activities at the construction site.
- Responsible for monitoring and preparation of daily & weekly site related reports.
- Dispatching & receiving documents and manage all sites correspondences, including indexing of all documents and filing; maintaining and updating logs.
- Assist the project team in drafting official letters to Clients, Consultants, etc.
- Prepare and follow up on material requisition according to site requirement.
- Monitoring the attendance and preparation of weekly and monthly time sheets for staff and workers, including calculation of overtime to Payroll.
- Monitoring and tackling all issues related to laborers, site staff that includes arranging for transportation, grievances, transfer of staff from one site to another.
- Carrying out other day to day administrative tasks including but not limited to ensuring proper maintenance of office supply and site area.
- Adherence to safety practices in the workplace.
- Ability to multi-task and prioritize daily workload in a fast-paced environment
Qualifications:
- Education: Minimum Diploma in Administrative Studies or related study
- Experience: Minimum 3 years of relevant working experience. Prior experience working in the construction industry will be preferred
- High level of interpersonal, verbal and written communication skills preferred
- Good Command of written and spoken in English, Mandarin, and Bahasa Melayu.
Site Administrator
The Site Administrator is responsible for providing effective and efficient day-to-day administrative support for the site’s operations.
A summary of the responsibilities of this position are, and not limited to, as follows:
- Maintain and update project filing system and documentation
- Manage claims, leave applications, loan applications and other HR related matters for employees
- Keep track and compile monthly administrative reports for project team
- Sort and record all outgoing mails, letters, documents and drawings for delivery to consultant and client
- Schedule appointments and arrange transport for employees and visitors
- Provide any other ad-hoc administrative support to the project team
Qualifications:
- Education: Minimum ‘O’ Level or Diploma in Administrative Studies
- Experience: Minimum 2 years of relevant working experience in the construction industry
- Proficient in Microsoft Office (Word, Excel & Powerpoint)
