Facilities Management

1. To manage the Direct Reports to ensure that all job sites are managed in an efficient, tip top condition and timely manner accordance to the set targets and standard. To report back to Head, Facilities Management on a regular basis.
2. To drive the formulation, implementation, enhancement of the existing and new policies e.g. reporting format, standard operating procedure and work instruction etc and to regularly reviewed to ensure they are up to date and suit to different nature of job sites.
3. To manage and monitor all mechanical and electrical services, plant and associated installations, building services to ensure that they perform efficiently and comply with current legislation, statutory testing, inspection and record-keeping.
4. To monitor and evaluate all the complaint response time and action taken, identify areas of concern for further attention and immediate remedial action via the system / mobile apps. And also to instill customer service excellence throughout the team colleagues.
5. To recruit, manage and motivate employees within the team, ensuring that they have a positive attitude and are trained in their job performance. Supervise, monitor and evaluate their performance thereby ensuring the provision of an efficient, effective and quality service to all clients. And also to provide feedback on year end performance review.
6. Attend to enquiry, complaint from Owner / Tenant and provide solution to the respective direct report to rectify the complaint s until problem resolved.
7. To attend UOA REIT/JMB/MC Meeting, AGM, and to liaise with the respective Director / Joint Management Body (JMB) and/or Management Corporation (MC) over the maintenance and upkeep of the common areas of the respective property.
8. To prepare, compile and submit monthly/quarterly/annual report to the Management/JMB/MC.
9. To monitor and achieve KPIs set by the Management.
10. To provide technical support service to Property Leasing Team on Prospect Technical team enquiry.


Administration

1. To submit Monthly Management Report to Head, Facilities Management.
2. To work with Direct Report & Accountant in preparing Financial Report / any relevant Report to present during UOA REIT/JMB / MC meeting and provide support during the said meeting.
3. To familiarize the nature of the job sites, Building House Rules and Regulations and to ensure it is well implemented by the Direct Report. Also to formulate Building House Rules and Regulations for new Site Setup and submit to COB for approval.
4. To oversee the development, promotion and implementation of the good Safety and Health practices among the technical staff and moving toward ZERO Accident rate on daily maintenance work.
5. To verify all invoices, job sheet etc.
6. To ensure the collections record (daily logsheet) are in order / documented, and also to ensure all logsheet submit to Account Dept timely.
7. To liaise with Legal Dept in issuing demand letter to the defaulter.
8. To process / follow up any insurance claim.
9. To assist during visit of Valuer for insurance renewal.
10. To work with Accountant and provide data to formulate annual budget plan.
11. To ensure Monthly Management Report, licenses, service agreement etc. are submitted / renewed on time.
12. Perform any other duties as and when assigned to by the Management.
