JOB SUMMARY

  • The Assistant Manager of Integrated Management System (IMS) supports the IMS Manager in overseeing and managing the department's operations and activities to ensure alignment with both Company and departmental objectives.
  • This role plays a critical part in maintaining and enhancing the company's compliance with IMS standards, including ISO 9001 (Quality Management System), ISO 14001 (Environmental Management System), and ISO 45001 (Occupational Health and Safety Management System).

JOB DUTIES AND RESPONSIBILITIES

IMS Operations Management:

  • Lead the day-to-day operations of the IMS Department, ensuring smooth and efficient workflows.
  • Foster effective collaboration across teams to achieve company-wide goals and ensure compliance with IMS standards.

Certification Compliance:

• Ensure ongoing compliance with ISO 9001 (Quality Management System), ISO 14001 (Environmental Management System), and ISO 45001 (Occupational Health and Safety Management System) standards.

• Coordinate external audits, prepare relevant documentation, and facilitate external audits as required for maintaining certification.

Policy and Procedure Maintenance:

  • Maintain and update IMS policy and procedures to align with regulatory requirements and industry best practices.
  • Ensure that IMS practices are fully integrated into the company’s business processes.

Risk Management and Continuous Improvement:

  • Identify opportunities for improvement in IMS processes and lead initiatives to enhance overall effectiveness.
  • Conduct risk assessments and implement corrective and preventive actions to mitigate risks

Training and Awareness:

• Oversee IMS-related training programs, ensuring trainings are conducted as per planned.

• Prepare and deliver training materials and presentations to promote understanding and compliance across the organization.

Audit Management:

• Plan and conduct internal audits to assess the effectiveness of IMS practices.

• Coordinate external audits.

• Ensure timely resolution of audit findings and track corrective actions.

Performance Monitoring, Reporting and Records:

• Monitor the performance of IMS objectives, targets and programmes, and report the results to IMS Manager.

• Maintain and control all IMS-related records and documentation.

Cross-functional Collaboration:

• Collaborate with various departments to ensure IMS requirements are integrated into daily operations and that cross-functional teams are aligned with IMS objectives.

Additional Certifications:

• Support re-certification and audit processes for additional certifications such as MyHijau, Green Label, GreenGuard, and FSC

Others:

• Ad-hoc assignments by Superior from time to time.

Education Background Required:

• Candidate must possess at least Bachelor’s degree in any related field.

• At least 5 years working experiences in ISO 9001/ ISO14001/ ISO45001 Management System.

• Have experiences in internal auditing for ISO 9001 / ISO 14001 / ISO 45001.

Preferred:

• Possess a foundation in the sciences, including biology, chemistry, and physics.

• Experience in preparing for IMS certification is preferred.

Experience

• Experience in managing internal audits team in conducting internal audit program and continual improvement activities.

Skills

• Strong written and documentation skill.

• Possess initiative, able to prioritize and well-organized.

• Detail oriented, self-motivated, and able to work with minimal supervision.

Competencies

  • A basic understanding of environmental, health, and safety laws and regulations is required.
  • Ability to identify risk and impacts; implement mitigation strategies and promote a proactive approach to risk across the organization.
  • Competencies in relevant EOHS areas are considered an added advantage.
