Assistant Manager, Business Administration and Support

Report To

Role Purpose

The Assistant Manager, Business Administration and Support ensures compliance with regulations and corporate policies while overseeing smooth business support operations. The role is crucial for maintaining efficiency and effectiveness of business support operations while fostering team development.

Key Accountability
  • Establish and implement work processes for each key result area under his/her supervision to ensure compliance with applicable regulatory and Company corporate policies and for smooth operations.
  • Segregate tasks and responsibilities to staff of both key result areas to ensure all tasks are carried out smoothly and all staff are clear of his/her tasks and responsibilities.
  • Perform periodic checks on all crews training files and dispatchers training files in Digital Training Records (“DTR”) ensuring all licenses and training documents received are accurate, validated and timely filed.
  • Review and assess DTR system performance and to address issues raised by admin users and by crew members. Lead DTR team to manage features and future enhancement for system improvement.
  • Oversee, supervise, and guide team members in audit preparation as per audit scope and deadlines with target of achieving nil finding or observation.
  • Supervise provision of administrative support to Flight Operations and Security including process payment to suppliers, preparation of sales order, duty travel arrangement etc, to support their business requirements.
  • Problem solving on daily issues/problems faced by the team members to ensure the team can continue to deliver the output required of them i.e. Monitor performance of tasks by his/her team to ensure deliverables and output are as per targets set.
  • Authorized to sign off letters and flight crew logbook verification, release Sales Order raised for departments in Flight Operations and Security and to perform other tasks as specified in Operations Manual-Part A and Corporate Approving Authority Policy (CAAP).
  • Undertake any additional tasks delegated by the Head of Operations Planning & Support / Manager of Business Administration & Support, collaborating effectively with other team members. To fulfil any other reasonable duties assigned by the management personnel of the Business Administration & Support Unit.
Qualification & Working Experience
  • Possess a degree in any discipline with 5 years of working experience, preferably in operations areas, or
  • Diploma in any discipline with 7 years of working experience, preferably in operations areas, or;
  • High School Certificate (STPM/SPM) with 10 years working experience, preferable in operations areas.
Personality Traits
  • Knowledge in IT, understanding of workflow and processes documentation.
  • Knowledge on regulatory requirements and flight operations policies and procedures is an added advantage.
  • Broad knowledge on Company's governance and policies pertaining to business administration.
  • Ability to perform data analysis and recommended analytical decision.
  • Strong attention to detail, able to multitask and process driven.
  • Excellent verbal communication, and the ability to convey important information clearly and effectively.
  • Quick decision-making and problem-solving abilities.
  • Confident, proactive, and willing to take on workplace challenges.
