Job Description

  • Provide secretarial and administrative duties to Directors.
  • Compile and analyse performance on operations.
  • Assist Operation Director to follow up on operation issues and projects.
  • Schedule and prioritize meeting appointments, taking minutes, prepare correspondence, sales quotation & reports, marketing material and presentation.
  • Assist in developing and executing the company's ISO compliance.
  • Planning and organizing company event and conference.
  • Maintain strict confidentiality and interact professionally with all levels of staff.
  • Performs ad-hoc duties assigned by directors from time to time.
  • Liaise with Government Officers on the document submission for approval.
  • Any other job assignment as and when required.
  • Key Responsibilities:

    • Coordinate travel arrangements for the commercial and support teams in regard to flight bookings, accommodation and transportation arrangement.
    • Handle internal sales activities.
    • Responsible for overall budgetary control of admin/general expenses for the company
    • Maintain accurate records of office supplies inventory, equipment, and furniture. Track usage, ensure timely replenishment and place orders.
    • Coordinate and oversee office maintenance tasks, ensuring the workspace remains functional and presentable.
    • Manage housekeeping activities to maintain a clean and organized office environment.
    • Manage the negotiation and review for tenancy/contracts and vendors.
    • Oversee annual office license renewal and maintenance activities.
    • Serve as a backup receptionist, handling incoming calls, greeting visitors and providing exceptional customer service.
    • Provide administrative support to the Management Team as and when required.
    • Monitor stock levels and coordinate with the warehouse team to ensure sufficient inventory is available to meet customer demand.
    • Assist in coordinating logistics operations, including scheduling shipments and deliveries.

    Job Requirements

    • Candidate must possess at least bachelor’s degree/Professional Degree in Business Studies/Administration/Management, Commerce, or equivalent.
    • At least 3 Year(s) of working experience as Admin Executive, Personal Assistant or Executive Assistant or any similar position.
    • Excellent organizational and problem-solving skills. Capable to multitask and prioritize effectively.
    • Ability to maintain confidentiality and exercise discretion.
    • Strong MS Office skills (especially Word, Excel, PowerPoint).
    • Excellent communication skills. Fluency in English and Malay, both spoken and written is required.
    • Willing to travel outstation as and when required.
