Requirements • Diploma or degree in Admin or HR or a related field is preferred • Proven experience as an Administrative Assistant or in a similar role • Proficiency in Read, Write and Speak in Mandarin for handling documentation tasks is required. • Proficiency in Microsoft Excel & Word • Excellent communication and interpersonal skills • Strong organizational and time management skills • Attention to detail and accuracy • Ability to work independently as well as collaboratively in a team environment. • High level of integrity and discretion when handling sensitive HR information. • A proactive and self-motivated attitude with a willingness to learn and take on new responsibilities. • 优先考虑具备人力资源和行政或相关领域的文凭或学位 • 在人力资源和行政助理或类似职务方面具有经验证的经验 • 精通普通话以处理文件工作是必要的 • 熟练使用微软Excel和Word • 出色的沟通和人际交往能力 • 强大的组织和时间管理技能 • 注重细节和准确性 • 能够独立工作,也能在团队环境中协作 • 在处理敏感人力资源信息时具有高度的诚信和谨慎 • 积极主动的态度,自我激励,愿意学习并承担新的责任。 Responsibility • Perform various administrative tasks, including answering phone calls, managing correspondence, responding to emails, and handling deliveries. • Respond to inquiries and resolve issues related to administrative functions. • Assist in the preparation, editing, and formatting of documents, reports, and presentations. • Maintain and update office records, files, and databases to ensure accuracy and organization. • Ensure the cleanliness, maintenance, and upkeep of the office environment. • Assist in the organization and coordination of company events or special projects. • Coordinate calendars, schedule meetings, and make travel arrangements. • Maintain confidentiality and handle sensitive HR information with discretion. • Support recruitment and onboarding processes, including job postings, resume screening, and interview scheduling. • Monitor and record staff attendance and leave applications, and manage other HR-related matters. • Ensure employees adhere to ISO 27001:2022 standards and other regulatory requirements. • Record and monitor inventory for both office purchases and product purchases from suppliers for warranty, stock control, and project reference purposes. • Manage petty cash claims for directors, office, and all staff. • Perform data entry and preparation of documents related to financial transactions. • Assist with project management tasks, such as tracking deadlines, coordinating efforts, and preparing reports. • Conduct research and gather information to support decision-making and project initiatives. • Perform other administrative duties and ad hoc tasks as assigned by supervisors from time to time. • 执行各种行政任务,包括接听电话、处理信件、回复邮件和处理快递。 • 回应查询并解决与行政职能相关的问题。 • 协助准备、编辑和格式化文件、报告和演示文稿。 • 维护和更新办公室记录、文件和数据库,以确保准确性和组织性。 • 确保办公室环境的清洁、维护和保养。 • 协助组织和协调公司活动或特别项目。 • 协调日历、安排会议并安排差旅。 • 维护保密性,并谨慎处理敏感的HR信息。 • 支持招聘和入职流程,包括职位发布、简历筛选和面试安排。 • 监控和记录员工出勤和请假申请,并处理其他与HR相关的事务。 • 确保员工遵守ISO 27001:2022标准和其他法规要求。 • 记录和监控办公室采购和供应商产品采购的库存,用于保修、库存控制和项目参考目的。 • 管理董事、办公室和全体员工的小额现金报销。 • 执行与财务交易相关的资料输入和文件准备工作。 • 协助项目管理任务,如跟踪截止日期、协调工作和准备报告。 • 进行研究并收集信息,以支持决策和项目倡议。 • 执行主管分配的其他行政职责和临时任务。
