To oversees all services pertaining to events planning and coordinating for confirmed group and events. Event Manager will also handle high profile events which require senior level attention and management and handle all site inspection in the hotel. This role involves cross divisional work coordination on different aspects of the hotel’s event services. It is the key responsibility of Event Manager to ensure professional and quality event planning with organizers in order to clearly communicate the requirements and details to operating departments of the hotel for vent execution and service delivery on the event days.
1. To work directly with the organizers on their event programme and requirement in order to provide professional advice to facilitate and assist on their event.
2. Establish key relationship with corporate clients and agencies to ensure maximum exposure and increase revenue.
3. To conduct venue and site inspection with organizer or external contractors for planning meeting or event group.
4. To be aware on the key trends in the market and take proactive action. Have extensive knowledge of competitor hotels and the ongoing major events around the area.
5. To be present and entertain prospective clients where appropriate.
6. To ensure that all communication with prospective customers are handled within the required standard time frame.
7. To coordinate food tasting arrangement and provide menu recommendations or custom design menu to offer service flexibility and up-selling.
8. To coordinate on audio visual, floral arrangement and other event requirements with hotel operating team.
9. To work independently with external vendors to coordinate on special event arrangement, such as venue, theme decoration and entertainment arrangement.
10. To develop close rapport with organizers to strengthen guest customer service.
11. To assist in monitor room block reduction and cut off time.
12. To review rooming list or reservation deadlines with organizers to deliver accurate forecast.
13. To distribute new and revised rooming list to reservation for room bookings and confirmations.
14. To coordinate on VIP guests arrangement and transportation arrangement if required.
15. To review and confirm group billing arrangement with the organizer prior to the events.
16. To ensure Finance department is given accurate information for billing.
17. To run through “Function Event Order” with organizers for each events to confirm all final event details and billing arrangement.
18. To provide accurate and timely events information to internal departments to ensure all client’s requests will be properly executed and delivered.
19. To attend internal events meeting or external business meeting as required.
20. To actively share clients feedbacks or comments on operations and services with the events management team as well as hotels’ senior management.
21. To maintain an effective communication and working relationships with Sales & Marketing team, Food & Beverage and the operating departments of the hotel.
22. To encourage full facilities in the hotel to maximize sales.
23. To continuously seek ways to maximize revenues and profits by cross selling and up-selling other facilities and service.
24. To handle guest associate enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.
25. To ensure high standards of personal presentation and grooming.
26. To respond to requests and undertake any reasonable tasks and secondary duties and to change as dictated by the Hotel and Company.
27. To ensure that all incoming calls are answered within 3 rings, using Standard Talk Line, Phrases and Telephone etiquettes.
1. To ensure full compliance with the hotel’s standards and procedures to maintain up to date activities and event information.
2. To supervise and ensure proper coordination with the team accordingly as per issued “Function Event Order”.
3. To ensure that statistical data is produced and analysed.
4. To ensure that an efficient and accurate filing system, both manual and electronically is maintained at all time.
5. To uphold on going standards and procedures and ensure full compliance at all time.
Job Type: Full-time
Pay: RM4,300.00 - RM5,500.00 per month
