- Raw Material Planning & Purchasing: Identifying the needs for raw materials, equipment, and other items for catering preparations and hall equipment/decorations. Ensuring purchases are made based on the budget and quantity required for events, especially on a wedding scale. Preparing sufficient material orders while maintaining appropriate stock levels for event or function demand.
- Supplier Management & Price Negotiation: Identifying and managing relationships with potential suppliers, including suppliers of food, flowers, decorations, equipment, and linen. Conducting price comparisons and negotiations with suppliers to obtain materials at the best prices without compromising quality. Evaluating supplier performance and making decisions on whether to continue the partnership or seek alternatives.
- Inventory Management: Monitoring the inventory levels of food, beverages, and disposable items to avoid shortages or excess stock. Conducting regular inventory checks and adjusting purchase orders as needed. Collaborating with the kitchen operations and hall operations departments to understand usage patterns and forecast future needs.
- Quality & Stock Monitoring: Ensuring all purchased items meet the specified quality standards, especially food items and decorations used in events. Managing stock and inventory, including counting and monitoring to avoid shortages or waste.
- Order Processing: Preparing purchase orders and coordinating delivery logistics to ensure timely delivery. Collaborating with the operations department to manage the storage, transportation, and handling of goods. Maintaining documentation of all transactions and invoices for accounting purposes.
- Budget Management: Collaborating with the accounts department to set a purchasing budget and ensuring expenses do not exceed the allocated budget. Preparing monthly expenditure reports, including purchases, storage costs, and expenses related to logistics and inventory storage. Analyzing market trends to make wise purchasing decisions and stay within budget.
- Logistics & Delivery: Arranging delivery schedules with suppliers to ensure materials and equipment arrive on time before the event. Coordinating logistics for the storage of perishable goods (e.g., food items) in a way that guarantees quality.
- Document Management & Contract Monitoring: Managing and storing all purchasing documents, such as invoices, contracts, and records of agreements with suppliers. Monitoring supplier contracts regularly to ensure compliance with the specified terms and reviewing agreements when necessary.
- Safety & Quality Standards Compliance: Ensuring all food items and equipment comply with food safety standards and the quality regulations required for wedding preparations. Conducting regular inspections of food storage safety and catering equipment.
- Demand Forecasting & Planning: Analyzing historical data to forecast demand for materials and supplies, taking into account seasonal variations and event bookings. Adjusting order quantities based on changing trends, menu updates, and customer preferences. Communicating with the kitchen operations and event planners to ensure needs are met for each service.

- Bachelor's or Diploma degree in a related field such as Business Management, Hospitality, Supply Chain Management, or Finance.
- Additional training or certification in Purchasing or Logistics is an advantage.
- At least 3-5 years of work experience in purchasing, procurement, or logistics management, preferably in the catering, hospitality, or event services industry.
- Experience working in an event planning or wedding planning environment is an advantage.
- Excellent communication skills for dealing with suppliers and internal parties.
- Strong negotiation skills to obtain the best prices and contract terms.
- Knowledge of relevant suppliers in the catering and wedding industry, such as suppliers of raw materials, equipment, or decorations.
- Understanding of quality and safety standards in the storage and handling of food materials.
- Analytical skills to evaluate cost reports and make purchasing decisions based on data and cost estimates.
- Ability to solve problems quickly, especially when facing issues related to delivery, stock shortages, or material quality.
- Proficiency in basic office software (such as SQL, Microsoft Excel, Word) to prepare reports and organize purchasing data.
- Able to work in situations that sometimes require flexible working hours (such as weekends or nights) to ensure all materials and requirements are prepared before the event.
- Willing to work under pressure, especially in the wedding industry which involves last-minute decisions and ad-hoc requests.
