The Special Officer to the Vice Chancellor will provide high-level, confidential administrative and strategic support to assist in executing the Vice Chancellor's initiatives and goals. This role requires a proactive, organized, and efficient individual capable of handling a variety of tasks ranging from operational support to assisting with academic and administrative matters. Flexibility in working hours, including weekends and travel as needed, is essential to support the Vice Chancellor’s engagements and commitments. Key Responsibilities 1) Administrative Support Manage and coordinate the Vice Chancellor’s calendar, scheduling meetings, and appointments, ensuring efficient time management. Prepare, review, and distribute communications, reports, and presentations as required by the Vice Chancellor. Handle confidential information with discretion and maintain records of all significant matters discussed in meetings. 2) Stakeholder Coordination Serve as a liaison between the Vice Chancellor’s office and internal/external stakeholders, including university departments, government agencies, and academic partners. Assist in arranging and coordinating meetings, events, and conferences related to the Vice Chancellor's engagements. 3) Project and Initiative Support Assist in planning and executing special projects and initiatives led by the Vice Chancellor. Conduct research and provide data insights as required to support decision-making and strategic planning. 4) Communication and Reporting Draft, edit, and manage official communications, including speeches, memos, and email correspondence. Compile reports, gather information, and prepare briefs for meetings or public engagements. 5)Operational Oversight Coordinate with administrative teams to ensure smooth daily operations within the Vice Chancellor’s office. Handle additional duties as assigned to support the office in line with institutional objectives. 6)Flexibility in Work Schedule Be available to work on weekends and travel as necessary to support the Vice Chancellor’s responsibilities and engagements. Qualifications and Requirements Education: Bachelor’s degree in any relevant field, such as Business Administration, Public Administration, or related fields. Experience: 1–3 years of experience in an administrative, strategic, or coordination role, ideally within an academic, government, or corporate environment. Skills: Communication: Excellent written and verbal communication skills, with strong attention to detail. Organization: Strong organizational abilities, with a demonstrated ability to manage multiple tasks efficiently. Research: Proficiency in conducting research and preparing reports. Problem-Solving: Ability to anticipate needs and proactively provide solutions. Tech-Savvy: Proficient in Microsoft Office Suite, especially Excel, Word, and PowerPoint, and familiar with other administrative software. Preferred Qualities Strong interpersonal skills with a high degree of professionalism. Ability to maintain confidentiality and exercise discretion. Willingness to learn and adapt in a fast-paced environment. Flexible and committed to supporting the Vice Chancellor, even on weekends or during travel requirements.
