Key Tasks & Responsibilities:

  • Receive, review, and file documents (both hard copy and electronic) in compliance with company procedures.
  • Maintain and organize electronic and paper-based records to ensure easy retrieval.
  • Establish and implement document control processes, ensuring all documentation is accessible and properly indexed.
  • Ensure all documents are labeled and categorized properly for retrieval and reference.
  • Ensure that only the latest versions of documents are in circulation.
  • Track revisions and versions of documents, ensuring that the most current documents are used.
  • Maintain records of document revisions, approvals, and distribution.
  • Coordinate document distribution internally and externally as required.
  • Ensure documents are distributed in a timely manner and ensure recipients acknowledge receipt where necessary.
  • Ensure compliance with industry standards, regulations, and company policies regarding document management.
  • Prepare documentation for internal and external audits.
  • Support document-related audits and address discrepancies or gaps identified during audits.
  • Maintain a document control log to track the status of all documents and ensure timely retrieval.
  • Regularly update and maintain the document management system, ensuring the system is organized and efficient.
  • Liaise with different departments to ensure proper documentation and coordination across functions.
  • Assist with training employees in document management processes and systems as required.
  • Ensure the confidentiality, integrity, and security of sensitive documents.
  • Implement procedures for the safe disposal of outdated or unnecessary documents.

Job Requirement:

  • Diploma/Degree in Business Studies/Administration/Management or other associated disciplines.
  • Proficient in Microsoft Office Application (Word, Excel, Power Point)
  • Self-motivated, have good interpersonal skills and strong problem-solving skills.
  • Able to work under pressure with minimum supervision
  • Fluent in English for both written and spoken.
  • Willing to work 6 days per week.

Job Type: Contract
Contract length: 12 months

Pay: From RM2,500.00 per month
