Key Responsibilities: Administrative Duties: Manage day-to-day office operations, ensuring a smooth workflow. Handle incoming phone calls, emails, and office correspondence. Coordinate meetings, appointments, and manage calendars for executives or staff. Organize and maintain office supplies, filing systems, and documentation. Maintain and update company records and databases (both physical and digital). Prepare and distribute internal and external communications as necessary. Assist with HR-related tasks such as employee attendance tracking and new hire documentation. Prepare office reports and presentations. Handle mail and courier services for the office. Assist with travel arrangements, accommodation bookings, and other administrative tasks. Accounting Duties: Assist with daily bookkeeping tasks, including invoicing, accounts receivable, and accounts payable. Maintain accurate and up-to-date financial records, including ledgers and journals. Perform bank reconciliations, ensuring accuracy in financial transactions. Process payroll and ensure timely payments to employees. Support the preparation of financial reports, budgets, and forecasts. Monitor company expenses, assisting in cost management and identifying financial trends. Prepare and file tax documents, ensuring compliance with relevant laws and regulations. Assist with month-end and year-end financial closing processes. Liaise with external auditors during audits and ensure proper documentation is available.
