Position Summary
The Administrative Executive supports the efficient operation of the office by managing communications, maintaining supplies and equipment, coordinating schedules, and ensuring accurate record-keeping. This role requires excellent organizational skills, computer proficiency, and a proactive approach to problem-solving while maintaining high standards of professionalism and confidentiality.
Key Responsibilities Office Operations and Communication
- Oversee office operations by managing incoming and outgoing communications, including correspondence and emails.
- Distribute communications promptly to the appropriate parties.
- Ensure the office is organized and well-maintained to support smooth daily operations.
Inventory and Supplies Management
- Regularly monitor and maintain office supply inventory by checking stock levels and anticipating future needs.
- Expedite supply orders, verify deliveries, and properly stock items.
Equipment Maintenance
- Perform preventive maintenance on office equipment and troubleshoot basic issues.
- Coordinate repairs and monitor the functionality of all office equipment.
Scheduling and Coordination
- Maintain and update therapists’ schedules, ensuring they are informed of appointments and any changes.
- Respond to client inquiries, forward messages, and keep clients updated on their appointment schedules.
Client Services
- Ensure clients are informed of any changes to their appointments and send timely reminders for payments.
- Deliver excellent client service, ensuring all inquiries are addressed professionally and promptly.
Record Management
- Monitor and record attendance of all children entering and leaving the center.
- Maintain accurate and up-to-date records, including staff administrative information such as leave balances, uniform distribution, and office key allocations.
Sales and Financial Reporting
- Process, record, and verify all daily credit sales, ensuring accurate issuance of receipts to customers.
- Generate and maintain sales reports as required.
Staff Collaboration and Development
- Actively participate in staff meetings, training sessions, and business development initiatives.
- Contribute to peer sharing and team-building activities.
Key Qualifications
- Proven proficiency in using computers and software applications, including word processing, spreadsheets, and email platforms.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Capability to multitask and work effectively under minimal supervision.
Job Type: Full-time
Pay: RM1,709.09 - RM3,099.09 per month
