• Checking of mailbox 2 days once and acknowledge and record all mails/letters prior to distributing them to the respective person in-charged. • Checking HQ staff claim prior to submit to Head of HR a) Medical Claim b) Handphone Allowance c) Housing Allowance d) Millage Claim e) Educational Allowance f) Standby Allowance • Keep Track of Office Properties such as office access cards, office laptop • Maintain physical filing systems (Admin & HR) a) Admin ( b) HR (Prepare staff personal file, Leave file, • In-charge for New Staff process and setup inclusive of Office Tour • Handling for submission, incoming and outgoing records of Film badge by APM (Monthly) • In-charge for Test Equipment Calibration • Assisting QC department to distribute the Reports • To do LHDN Stamping for Contracts and any other required documents for Management • Collecting and handover all utilities bills (Unify, Indah Water bill, water bill and Tnb Bills to Account department • Raise PR for HQ and prepare invoices when is required • Book accommodation & flights for Staff (HQ) and those for Passage Leave along with the summary • Complying document and keep tract of EP application & renewal for Expatriates • To maintain record and renewal of insurances on company’s assets, properties and staff Insurance. (Monthly and yearly) • To keep tract of Renewals for Company license renewal (DBKL, Tenancy Agreements of staff Accommodation and Company Vehicles • To update and circular the latest staff phone extension number. • To draft official letters and get the approval from management prior to release whenever required. • To place order for requisition of office stationeries and Pantry items when needed. • To place orders for rubber stamp for company and office use as when needed. • To keep company’s record and documentations confidential and safe within the Administrative Department. • To maintain all HR related matter inclusive of Staff Leave Records, Staff Filing, Resign Staff Records • Prepare supporting documents for salary preparation a) Unpaid leave summary b) New staff and resign staff Summary • Update monthly Annual Calendar for both ADMIN & HR Activities • To perform all other duties instructed by the Management from time to time.
