Mantissa College is looking for a meticulous and proactive HR Executive to manage a wide range of human resources functions, including recruitment, employee performance monitoring, leave management, and compliance with Malaysian employment laws. Key Responsibilities1. Leave Management

  • Monitor and process employee leave applications and approvals.
  • Ensure compliance with the college’s leave policies and procedures.
  • Maintain accurate leave records for reporting and auditing purposes.

2. Performance Monitoring

  • Track and oversee employee Key Performance Indicators (KPIs).
  • Collaborate with department heads to ensure timely and accurate performance reviews.
  • Provide regular reports and actionable insights on employee performance.

3. Recruitment and Selection

  • Job Posting and Advertisement:
  • Develop clear and engaging job descriptions tailored to specific roles.
  • Publish job advertisements on job boards, social media platforms, and other relevant channels.
  • Update postings to reflect current hiring needs.
  • Candidate Sourcing:
  • Leverage various sourcing methods, such as job portals, referrals, and professional networks, to attract top talent.
  • Maintain a talent pool database for future hiring needs.
  • Foster relationships with external recruitment agencies and career services providers.
  • Screening and Shortlisting:
  • Review and evaluate applications to assess candidate qualifications.
  • Conduct initial phone screenings to determine candidates’ suitability and fit.
  • Prepare a shortlist of potential candidates for further evaluation.
  • Interview Coordination:
  • Schedule and organize interviews with hiring managers and candidates.
  • Prepare standardized interview guides and evaluation templates.
  • Communicate outcomes and next steps with candidates promptly.
  • Assessment and Selection:
  • Facilitate technical or skills-based assessments as required.
  • Collect and consolidate interviewer feedback for informed decision-making.
  • Ensure fair and unbiased selection processes.
  • Offer Management and Onboarding:
  • Prepare and present employment offers to successful candidates.
  • Conduct pre-employment checks, including background and reference verification.
  • Oversee onboarding activities to ensure a smooth transition for new hires.
  • Continuous Improvement:
  • Analyze recruitment metrics, such as time-to-hire and cost-per-hire, to refine recruitment strategies.
  • Stay informed of industry trends and best practices to optimize the hiring process.

4. Documentation and Records Management

  • Maintain up-to-date and accurate employee records, including personal files, contracts, and disciplinary records.
  • Draft and issue essential HR documents, such as offer letters, confirmation letters, and disciplinary notices.
  • Ensure proper handling and security of sensitive employee data in compliance with regulations.

5. Compliance and Policies

  • Ensure HR operations comply with the Malaysian Employment Act and other labor laws.
  • Provide guidance to management and employees on legal and policy-related matters.
  • Stay updated on changes to labor laws and recommend necessary policy revisions.

Qualifications and RequirementsEducation

  • Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.

Experience

  • Minimum 2 years of experience in human resources, particularly in recruitment and compliance.
  • Proven expertise in Malaysian Employment Act and related regulations.

Skills and Competencies

  • HR Knowledge: Solid understanding of recruitment, performance management, and HR compliance.
  • Compliance Expertise: Thorough knowledge of labor laws, especially the Malaysian Employment Act.
  • Communication Skills: Excellent verbal and written skills in English.
  • Organizational Skills: Strong ability to manage multiple tasks and deadlines effectively.
  • Attention to Detail: High accuracy in managing records and processes.
  • Interpersonal Skills: Strong relationship-building skills with internal and external stakeholders.

Job Types: Full-time, Permanent

Pay: RM2,500.00 - RM3,500.00 per month
